Job Description
M&J Enterprises Construction, Inc. is seeking an experienced, highly organized Accounting, HR & Insurance Specialist to join our construction office. This position is responsible for managing day-to-day accounting functions, accounts payable and receivable, bookkeeping and reconciliations, human resources administration, payroll support, and company insurance matters.
We are looking for someone who is dependable, detail-oriented, confidential, and capable of independently managing multiple financial and administrative responsibilities in a fast-paced construction environment.
Key ResponsibilitiesAccounting & Bookkeeping
- Manage Accounts Payable (A/P) and Accounts Receivable (A/R)
- Enter and review vendor bills and customer invoices
- Track outstanding receivables and follow up on past-due accounts
- Reconcile bank accounts and credit card accounts
- Maintain accurate general ledger records
- Review transactions and properly categorize expenses
- Assist with month-end reconciliation and financial reporting
- Identify and correct accounting discrepancies
- Maintain organized accounting records and supporting documentation
- Assist with job costing and project-related accounting
- Coordinate with management, CPA, and outside accounting professionals as necessary
- Maintain accurate vendor records, W-9s, and 1099 information
Human Resources & Payroll
- Process and maintain new-hire and termination documentation
- Maintain confidential employee personnel files
- Assist with payroll processing and review
- Track employee deductions and benefits
- Manage employee onboarding and required documentation
- Maintain employee records and compliance documentation
- Assist management with employee-related documentation and HR matters
- Coordinate workers' compensation documentation and claims as needed
Insurance Administration
- Maintain company insurance policies and records
- Handle Certificates of Insurance (COIs)
- Coordinate insurance requirements with customers, vendors, and subcontractors
- Track policy renewals and expiration dates
- Work directly with insurance brokers and carriers
- Maintain workers' compensation, general liability, commercial auto, and other company insurance documentation
- Assist with insurance audits and claims
- Ensure subcontractor insurance requirements are maintained and current
- Previous experience in accounting/bookkeeping is required
- Strong knowledge of Accounts Payable, Accounts Receivable, and account reconciliation
- Experience with QuickBooks preferred
- Strong understanding of bookkeeping and general accounting principles
- HR and payroll experience preferred
- Experience handling business insurance and COIs strongly preferred
- Construction accounting or construction-office experience is highly preferred
- Strong Microsoft Excel and computer skills
- Excellent organizational and communication skills
- Ability to handle confidential employee and financial information
- Ability to work independently, prioritize deadlines, and follow through on responsibilities
- Strong attention to detail and ability to identify accounting discrepancies
This is a key position within our office. The ideal candidate will be someone who understands accounting beyond basic data entry and is comfortable taking ownership of A/P, A/R, reconciliations, bookkeeping, HR administration, payroll support, and insurance documentation.
We are looking for someone who is proactive, accountable, organized, and able to keep accurate financial and employee records while supporting the daily administrative needs of a busy construction company.
