Job Description
Job Overview
The Intake Specialist plays a critical role in delivering high-quality, empathetic, and efficient service to potential clients during the initial intake process. This position is responsible for evaluating case viability, gathering essential information, and ensuring a seamless transition to the Case Management team. The Intake Specialist serves as a key point of contact for prospective and newly signed clients and must uphold the highest standards of professionalism, accuracy, and client care. This role requires a bilingual candidate who is fluent in Spanish to effectively communicate with our diverse client base.
Key Responsibilities
Identify, evaluate, and distribute potential leads among intake specialists
Log rejected, viable, and referred potential clients accurately in the case management system
Assess case viability and prepare client contracts in accordance with firm guidelines
Exercise authority to issue contracts at approved rates without managerial approval; escalate rate exceptions as required
Confirm health insurance coverage and lien considerations upon case signing
Coordinate with claims processors to ensure timely issuance of Letters of Representation (LORs)
Assist with investigations during the initial intake phase
Conduct after-hours and weekend calls with potential clients when available and necessary
Communicate with attorneys on complex or high-value cases to confirm approval prior to proceeding
Perform bi-weekly follow-up calls with clients during the intake phase until transfer to a Case Manager
Collect and submit required photographs, documentation, and data to support case progression
Determine whether passengers involved in incidents have separate insurance coverage
Review police reports thoroughly and escalate concerns to leadership when appropriate
Accurately complete all required intake fields and documentation
Provide regular updates to leadership and attorneys, particularly regarding high-value claims
Respond promptly and professionally to rollover and inbound calls
Collaborate with fellow intake specialists to maintain workflow efficiency and team productivity
Qualifications
High school diploma or equivalent required
Minimum of one (1) year of experience in customer service, intake, or administrative support
Bilingual required; must be fluent in Spanish
Strong verbal and written communication skills
Excellent organizational and time-management abilities
Proven dependability, accountability, and attention to detail
Resourceful problem-solver with the ability to work independently and proactively
Positive, adaptable, and team-oriented mindset
Demonstrated ability to meet or exceed performance expectations
Willingness to travel between office locations as needed
