Administrative Assistant II

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an Administrative Assistant II based in United States.

This role provides high-level administrative support within a busy healthcare and radiology environment, helping leaders and teams stay organized and efficient.
The position combines calendar management, meeting coordination, reporting, document preparation, communications, and confidential information handling.
You will work independently while interacting with leaders, customers, colleagues, and other stakeholders across the organization.
The role requires strong judgment, discretion, and the ability to prioritize competing demands with limited supervision.
You will also contribute to special projects, research, data analysis, and process coordination that support day-to-day operations.
This is primarily a remote position with a consistent Monday-to-Friday, first-shift schedule and a home base at a hospital location.
It is an excellent opportunity for an experienced administrative professional who enjoys taking ownership and supporting complex operational needs.

Accountabilities
  • Manage and prioritize calendars for appointments, meetings, events, and travel arrangements.
  • Coordinate travel logistics and support expense reporting activities.
  • Organize meetings and events, including agenda preparation, location or virtual-site coordination, and development of supporting materials.
  • Answer, screen, and initiate telephone calls while providing professional and tactful assistance to visitors and stakeholders.
  • Respond to inquiries and provide information regarding operational and administrative matters.
  • Resolve administrative issues and prioritize requests using knowledge of applicable policies, procedures, and organizational practices.
  • Independently prepare complex documents, correspondence, presentations, reports, graphs, and other business materials.
  • Compile statistical information and create reports and data visualizations with minimal guidance.
  • Maintain organized filing systems and confidential records while exercising a high degree of discretion.
  • Review, prioritize, and respond to incoming mail and correspondence as appropriate.
  • Conduct independent research and complex administrative analyses, summarizing findings to support decision-making and operational needs.
  • Operate and maintain office equipment and coordinate the ordering of supplies when necessary.
  • Coordinate administrative activities for special projects and other organizational initiatives.
  • Serve as a resource to other administrative professionals and provide training or guidance when appropriate.
  • Manage multiple priorities simultaneously while maintaining accuracy, professionalism, and strong attention to detail.
Requirements
  • High school diploma or equivalent.
  • Typically 3+ years of administrative support experience.
  • Advanced time-management and prioritization skills, with the ability to manage competing deadlines effectively.
  • High degree of confidentiality and discretion when handling sensitive information.
  • Demonstrated initiative, sound judgment, and independent problem-solving abilities.
  • Strong written and verbal communication skills, including the ability to interact tactfully and effectively with senior leaders and highly visible stakeholders.
  • Proficiency in Microsoft Office, particularly Word, Excel, and PowerPoint.
  • Ability to independently create documents, reports, presentations, graphs, charts, and other business materials ranging from simple to complex.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to work independently while collaborating effectively with colleagues and cross-functional stakeholders.
  • Comfortable spending prolonged periods sitting, standing, and using a keyboard.
  • Ability to occasionally lift or move items weighing up to approximately 20 pounds.
  • Ability to work effectively in a primarily remote environment while maintaining a suitable professional workspace.

  • Compensation: $26.55–$39.85 per hour, with placement within the range based on qualifications, skills, relevant experience, and training.
