Position Description
The Human Resources Generalist supports tasks and activities across the full employment lifecycle, including recruiting and onboarding, employment changes, benefit and leave administration, training and engagement support, HRIS and HR File maintenance, HR compliance, and offboarding. The Human Resources Generalist works closely with Human Resources Business Partners (HRBP), other HR colleagues, General Managers, and other Company Management to enhance the employee experience across all company locations.
Essential Duties and Responsibilities
- Recruiting and Onboarding
- Administer the job requisition process from manager request intake and review, job posting, requisition updating when applicable, and requisition closing
- Manage the screening portion of the onboarding process, from ordering to reviewing background checks, drug screening, and driving record check as applicable
- Generate, send, and track signature of job offer letters
- Partner with hiring managers on onboarding tasks including but not limited to scheduling start date, coordinating IT onboarding, confirming completion of new hire paperwork, ensuring first days are structured in an intentional and welcoming manner
- Own the entirety of the Form I-9 requirement, setting clear expectations with managers, reviewing documentation, handling E-Verify, ensuring compliance with all applicable requirements
- Employment Changes
- Intake, review, and process employment status changes
- Generate and send formal letter notifications of promotions and job changes
- Respond to third party requests for employment verifications and wage verifications
- Benefit and Leave
- Assist with employee communication and support on new hire benefits enrollment and annual Open Enrollment processes
- Contribute content to and support creation of various internal newsletters aimed at increasing awareness, connection, and morale within the company
- Champion employee wellness competitions and initiatives
- Provide administrative support to the employee leave of absence and accommodation processes
- Training and Engagement
- Support preparation of training materials, schedule trainings, track training attendance, etc., in partnership with HRBPs for all HRBP-led training
- Oversee in-office events and engagement initiatives, including but not limited to new hire orientation classes, monthly birthday and anniversary celebrations, holiday celebrations, wellness events, etc.
- HRIS
- Own the ACW side of the HRIS, including but not limited to controlling security, creating new departments/job titles/locations as needed, handling password reset requests, etc.
- Manage employment data in HR system of record by entering new hire data, updating employment records when job changes occur, always liaising with payroll when updates and changes are made
- Maintain HR files, including but not limited to employment files, Workers’ Compensation Files, Benefits Files, I-9 files, etc., by creating files upon hire or upon applicable event, updating files as changes occur or updates are communicated
- Update HRIS landing page as applicable
- HR Compliance
- Coordinate post-accident drug testing after work related injuries occur
- Review driving records monthly for applicable employees who are in driving positions, communicating results or escalating for review as needed
- Monitor minimum wage changes and partner with manager, HR and payroll as needed when employee wage rate updates are needed
- Update and maintain HRIS system with applicable information as required for OSHA reporting
- Assist as needed with audits and insurance renewals in partnership with other HR staff
- Ensure labor law posters remain compliant in all company locations
- Offboarding
- Generate and send offboarding paperwork, including but not limited to formal letter notification, benefits transition overview, severance agreements, etc.
- Notify IT department of offboards in a timely manner
- Liaise with payroll on offboarding activities
- Other
- Provide excellent customer service to all employees across the company by guiding them through HR-related tasks
- Contribute to increasing efficiencies within the HR team by reviewing established procedures for process improvement and system enhancement opportunities as well as creating and regularly updating process documentation
- Contribute to annual or special projects as needed, such as the annual performance review process, the annual base pay adjustment process, the annual bonus program process, internal or external audits, etc.
Mandatory Qualifications and Requirements
- Bachelor's degree in human resource management or related field or equivalent education, training and experience.
- 5+ years of experience in Human Resources
- Multi-state Human Resources experience.
- HR-related experience with a large hourly employee population.
- HR-related experience in the hospitality sector, such as food services industry, hotel, country club, etc.
- Verbal and written fluency in Spanish is required.
- Strong written and oral communication skills.
- Effective interpersonal skills, ability to present information and work with individuals at all levels of the organization.
- Knowledge of current federal, state, and local employment laws.
- Ability to organize and prioritize work, managing priorities simultaneously.
- Ability to exercise discretion, confidentiality and good judgment in interpreting and applying policies to problems.
- Proficient in the use of Microsoft 365 (Word, Excel, PowerPoint, Outlook, OneNote)
- Proficient in the use of ADP Workforce Now
