The McGillis School, an established, independent K-8 school in Salt Lake City, Utah has an opening for a full-time, year round Middle School Administrative Assistant beginning August 2026.

Position Description

The McGillis School seeks a highly organized and collaborative Administrative Assistant to primarily support West Campus operations and the Integrative Studies Department. Reporting to the Middle School Director, this position will provide administrative support to the broader Middle School as needed and will also serve as a key member of the school’s administrative support team that works closely across two campuses to ensure the smooth daily operation of school offices and programs. The ideal candidate enjoys working with Middle School students, embraces the School’s mission and values, and thrives in a dynamic environment requiring flexibility, professionalism, initiative, and strong interpersonal skills.

West Campus Administrative Duties

  • Provide administrative support to ensure efficient operation of West Campus
  • Be a consistent presence at West Campus office for faculty and students
  • Answer phone calls and support campus visitors/vendors
  • Support daily attendance procedures of the office; communicate with faculty and parents regarding absences, create attendance reports as needed
  • Coordinate early dismissals and late arrivals
  • Organize and maintain office and kitchen supplies for West Campus
  • Troubleshoot West Campus printer/copier issues
  • Administer medications or first aid to students as needed; update medication log in Veracross
  • Monitor security cameras and radio communication, respond as needed.
  • Maintain a clean and welcoming environment (i.e., office, kitchen/faculty room, common areas)
  • Assist with the coordination of safety drills and procedures

Integrative Studies (I.S.) Support (for teachers and students)

  • Understand and post the weekly I.S. schedules
  • Assist with the arrival and dismissal of I.S. grades/students (to and from Main Campus)
  • Work with the I.S. Science teachers to organize and maintain the Lab teaching spaces
  • Reserve buses and complete field trip form for I.S. field trips
  • Assist with organizing the breakout rooms, student supplies/resources, and common areas.
  • Support substitute teachers or cover I.S. classes on an occasional basis, if needed

Middle School Support

  • Provide administrative support and schedule meetings for the Middle School Director and Middle School Dean as needed
  • Provide general support to the Middle School program, faculty, and students (as time allows)
  • Manage or engage in special projects as assigned
  • Coordinate and reserve charter buses for overnight class trips.
  • Assist with additional overnight trip coordination needs – airline tickets, hotel reservations, etc.
  • In Veracross, be able to look up student and faculty schedules, identify student health information, contact parents, reserve resources, and learn to build schedules in the system.

  • Ability to navigate sensitive situations with students/parents/colleagues
  • Ability to maintain confidentiality while supporting school-wide administrative decisions and student information
  • Flexibility, adaptability, and willingness to support various school departments, as needed
  • Strong computer skills and willingness to learn a variety of programs and systems
  • Ability to administer basic First Aid
