Responsibilities:
Parts Sourcing and Procurement:
Research, evaluate, and select suppliers and vendors for heavy-duty truck, trailer, and equipment parts based on pricing, quality, availability, and reliability. Negotiate pricing, terms, and contracts to secure competitive costs and favorable purchasing agreements. Develop and maintain strong relationships with suppliers, vendors, and manufacturers to ensure timely delivery of parts and prompt resolution of any issues.
Over-the-Counter (OTC) Parts Sales:
Provide exceptional customer service by assisting walk-in, phone, and commercial customers with over-the-counter parts sales. Identify customer needs, accurately source and recommend the correct replacement parts, accessories, and shop supplies. Prepare quotes, process sales transactions, and ensure accurate invoicing while promoting additional products and value-added solutions. Build long-term customer relationships through knowledgeable service, timely communication, and follow-up.
Inventory Management:
Monitor inventory levels of parts and supplies, including stock levels, reorder points, and lead times, to ensure adequate inventory is available to support shop operations and customer sales. Assist with inventory counts, stock rotation, and maintaining an organized parts department.
Parts Identification and Specification:
Identify and source parts and components for heavy-duty trucks, trailers, and related equipment based on specific vehicle makes, models, VINs, and configurations. Interpret technical diagrams, parts catalogs, and manufacturer specifications to ensure ordered parts meet OEM requirements and are compatible with customer vehicles. Collaborate with service advisors and technicians to identify parts required for repairs, providing recommendations and technical support when needed.
Purchasing Administration:
Generate purchase orders for parts and supplies, ensuring accurate documentation of part numbers, descriptions, quantities, pricing, and delivery instructions. Coordinate with accounting to ensure timely processing of purchase orders, invoices, credits, and vendor payments. Maintain accurate records of purchases, receipts, warranties, and returns for efficient tracking and retrieval.
Vendor Management and Relationship Building:
Build and maintain positive relationships with suppliers, vendors, and manufacturers while serving as the primary point of contact for orders, inquiries, returns, warranty claims, and issue resolution. Communicate regularly with vendors to track order status, expedite deliveries, and resolve shipment discrepancies. Evaluate supplier performance based on delivery, product quality, pricing, and customer service, providing recommendations for continuous improvement.
Material Handling and Receiving:
Receive incoming shipments of parts, supplies, and materials from vendors, verifying quantities, inspecting items for damage or discrepancies, and ensuring accurate receiving documentation. Organize inventory, stock shelves, maintain a clean and safe parts warehouse, and distribute parts efficiently to technicians and customers while following company inventory control procedures.
Qualifications:
- High school diploma or equivalent; associate's degree or certification in supply chain management, procurement, or a related field preferred.
- Minimum of 2-3 years of experience in parts purchasing, procurement, or inventory management, preferably in the heavy-duty trucking or automotive industry.
- Strong negotiation skills with the ability to establish and maintain effective relationships with suppliers, vendors, and stakeholders.
- Proficiency in computerized inventory management systems, purchasing software, and Microsoft Office Suite.
- Excellent organizational skills, attention to detail, and ability to prioritize tasks and manage multiple projects simultaneously.
- Knowledge of heavy-duty truck systems, components, and parts cataloging, with the ability to identify and source parts for specific vehicle applications.
