Job Overview:

The Cross-Trained Medical Assistant / Receptionist provides both Front Office and Back Office support to ensure exceptional patient care, operational efficiency, and clinic flow. This position is responsible for scheduling appointments, registering patients, answering phones, verifying patient information, collecting payments, assisting providers with patient care, performing clinical duties, and supporting daily clinic operations. This role requires flexibility to work in both Reception and Medical Assistant capacities and float between clinic locations within the assigned region based on business needs. Work is performed in a medical office setting.

Essential Responsibilities:

Front Office Responsibilities:

• Welcomes all patients and visitors by greeting patients and visitors in person or on the telephone.
• Handles all incoming telephone calls from patients, schedules appointments, and answers general questions and inquiries.
• Uses computer systems to refer to existing patient information or set up new patients in the scheduling tool.
• Maintains registration flow by efficiently moving patients through the process and preparing them for clinical staff using Experity.
• Interacts with patients by answering questions, providing information, and maintaining an organized reception area.
• Verifies insurance and patient demographic information.
• Explains current fees and patient financial responsibility and collects payments as needed.
• Follows up with patients regarding missed appointments and patient satisfaction.
• Maintains general filing systems and files appropriately electronically or manually.
• Receives, directs, and relays telephone and fax messages.
• Maintains inventories of office supplies and provides inventory needs to leadership.
• Maintains confidentiality and safeguards patient information in accordance with HIPAA requirements.

Back Office Responsibilities:

• Reviews patient health history and updates medical information.
• Obtains and records patient vital signs.
• Documents patient interactions accurately and timely in the EMR.
• Confirms patient pharmacy information and updates records as necessary.
• Processes prescriptions, laboratory orders, and imaging orders as directed by providers.
• Ensures diagnosis codes are accurately documented for laboratory and imaging orders.
• Assists providers during examinations and procedures.
• Chaperones patient exams when necessary.
• Adheres to sterile technique and infection control standards.
• Processes laboratory specimens appropriately.
• Sets up examination rooms with appropriate supplies and instruments.
• Monitors clinic flow and communicates delays to patients and team members.
• Performs phlebotomy and blood draws when applicable.
• Ensures laboratory results are reviewed and closed according to established protocols.
• Maintains clinic cleanliness, organization, and readiness throughout the day.
• Collaborates with providers, medical assistants, and front office staff to ensure an exceptional patient experience.

Additional Responsibilities:

• Must be able to cover Front Office, Reception, Call Center, and Back Office duties as needed.
• Performs other administrative and clinical duties as assigned by leadership.
• Must be willing and able to travel to all clinic locations within the assigned region.
• May be required to float to another clinic location based on operational needs.
• Employees assigned to a floated clinic will be provided a grace period of up to forty-five (45) minutes to arrive at the assigned location.
• Reliable transportation is required.

Requirements:

Minimum Requirements | Qualifications:

• Medical Assistant Diploma from an accredited school/program required.
• High School Diploma or GED required.
• Minimum of one (1) year of relevant experience and/or training in a medical office, urgent care, physician office, customer service, receptionist, or medical assistant role.
• Knowledge of multi-line phone systems.
• Proficient in computers and relevant software applications, including electronic medical records and practice management systems.
• Knowledge of customer service principles and practices.
• Demonstrated initiative and strong organizational skills.
• Exceptional interpersonal communication skills with a positive tone and welcoming demeanor.
• Ability to work independently on assigned tasks as well as accept direction on given assignments.
• Ability to handle confidential information with discretion and sound judgment.
• Must be able to sit for long periods of time and have the manual dexterity to work computer systems and keyboards.
• Must be able to have face-to-face conversations with patients and staff.
• Must be able to lift up to 25 pounds.
• Reliable transportation and willingness to travel throughout the assigned region.
