Position Summary

The Transportation & Logistics Coordinator is responsible for the end-to-end coordination of freight movement within our distribution network. This role manages daily delivery scheduling for CDL drivers, ensures full compliance with all applicable DOT regulations, oversees fleet maintenance and utilization, and supports distribution center inventory accuracy. The ideal candidate combines strong organizational skills with a hands-on knowledge of commercial transportation operations.

Key Responsibilities

Delivery Scheduling & Driver Coordination

  • Build and manage daily, weekly, and long-range delivery schedules for all CDL drivers, balancing customer service commitments with Hours-of-Service (HOS) limits.
  • Assign routes using dispatch software, optimizing for mileage, load capacity, and on-time performance.
  • Serve as the primary point of contact for drivers during all active shifts; address delays, breakdowns, and re-routes in real time.
  • Communicate proactively with customers and internal stakeholders regarding delivery ETAs, exceptions, and schedule changes.
  • Prioritize outbound shipments to branches when freight capacity is limited, ensuring the most urgent items are loaded and dispatched first.
  • Maintain accurate driver logs, trip records, and proof-of-delivery documentation.

DOT Regulatory Compliance

  • Ensure all drivers and vehicles remain in compliance with Federal Motor Carrier Safety Administration (FMCSA) and DOT regulations, including HOS rules (49 CFR Part 395), drug & alcohol testing programs, and commercial driver qualification files.
  • Monitor and audit Electronic Logging Device (ELD) records daily; investigate and resolve violations promptly.
  • Maintain current knowledge of FMCSA updates, state-specific weight/size restrictions, and hazardous materials (HazMat) requirements as applicable.
  • Coordinate annual DOT physicals, CDL renewals, and MVR reviews for all driver personnel.
  • Prepare for and assist with DOT audits, roadside inspections, and safety reviews.

Fleet Management

  • Oversee a fleet of commercial trucks and trailers; schedule and track all preventive maintenance (PM) services, inspections, and repairs in compliance with FMCSA regulations.
  • Conduct pre-trip and post-trip inspection reviews; ensure drivers perform and document DVIR (Driver Vehicle Inspection Reports).
  • Coordinate with vendors, dealerships, and in-house mechanics to minimize vehicle downtime.
  • Maintain complete vehicle files including title, registration, insurance certificates, IFTA permits, and inspection records.
  • Track fuel consumption, idle time, and fleet utilization metrics; present monthly performance summaries to management.
  • Manage vehicle lifecycle planning — recommend acquisitions, replacements, and disposals based on utilization data.

Distribution Center Inventory

  • Participate in scheduled cycle counts, physical inventories, and spot audits to maintain inventory accuracy within the distribution center.
  • Reconcile inbound and outbound shipments against purchase orders, bills of lading, and WMS records; investigate and resolve discrepancies.
  • Coordinate with warehouse staff to ensure proper staging, labeling, and storage of freight pending outbound shipment.
  • Manage the breakdown and allocation of inbound full-truckload and container shipments received under master purchase orders, directing the team to partition inventory across branches according to established allocations.
  • Coordinate with purchasing teams to verify allocation accuracy, resolve discrepancies, and align on priority sequencing for branch-bound shipments.
  • Identify and report damaged, missing, or overage freight in accordance with carrier claims procedures.
  • Support continuous improvement initiatives related to inventory control, receiving, and shipping accuracy.
Requirements:

Required Qualifications

  • High school diploma or GED required; Associate's or Bachelor's degree in Logistics, Supply Chain Management, or a related field preferred.
  • Minimum 2–3 years of experience in transportation coordination, dispatch, or logistics operations.
  • Working knowledge of FMCSA regulations, HOS rules, ELD systems, and DOT driver qualification requirements.
  • Proficiency with Transportation Management Systems (TMS) and/or dispatch/routing software.
  • Excellent communication skills with the ability to coordinate across drivers, warehouse staff, and leadership simultaneously.
  • Strong problem-solving ability and composure under pressure in a fast-paced, time-sensitive environment.

Preferred Qualifications

  • Class A or Class B CDL holder, or previous commercial driving experience.
  • Experience with fleet management software.
  • Familiarity with OSHA warehouse safety standards.
  • Bilingual (English/Spanish) is a plus in many operating environments.

Physical Requirements & Work Environment

  • Primarily office-based with regular movement throughout the distribution center floor.
  • Ability to lift up to 30 lbs occasionally; standing and walking for extended periods on concrete surfaces.
  • May be required to work early mornings, evenings, weekends, or holidays based on operational needs.
  • Exposure to varying temperatures in warehouse and dock environments.
