POSITION OVERVIEW:

Under supervision of the Administrator, the Administrative Assistant is responsible for the organization and coordinating of the office operations and procedures in order to ensure organization effectiveness and efficiency. The Administrative Assistant reports to the Program Director of the Supportive Housing program ensuring the efficiency of all office and staff services are delivered to the expectation of the Acacia Network mission and values set forth by the organization. At Mosholu Gardens the AA also works with the Property Manager to ensure tenant compliance with recertification and leases.

KEY ESSENTIAL:

  • Ensures the office runs smoothly working collaboratively and maintaining an upbeat, positive attitude and other administrative activities that support the function of the office as assigned by the Program Director. Providing a wide range of administrative duties to the Director.
  • Connect with MIS for needed support from staff.
  • Assists with scheduling to ensure optimal staffing during facility operation hours.
  • Assists with the scheduling of cases, meeting and conferences and the assignment of rooms for health care providers.
  • Maintains all charts, files and administrative records.
  • Provides necessary reports, records, and statistics as by the program.
  • Orders and maintains all office supplies, forms, and equipment.
  • Maintains the mail delivery system.
  • Maintains that the facility stays in compliance with all Federal and State regulatory agencies regulations and guidelines as well as maintain all organization policy and procedures.
  • Performs other related duties as required.
  • Ability to work within Yardi.

REQUIREMENTS:

  • Coordinates the day-to-day operations of the behavioral health services.
  • Assists with scheduling to ensure optimal staffing during facility operation hours.
  • Assists with the scheduling of cases, meeting and conferences and the assignment of rooms for health care providers.
  • Assists and ensure the pre-admission documentation for all new clinical referrals are completed with accuracy.
  • Maintains all charts, files, and administrative records.
  • Provides necessary reports, records, and statistics as by the program.
  • Orders and maintains all office supplies, forms, and equipment.
  • Maintains the mail delivery system.
  • Maintains that the facility stays in compliance with all Federal and State regulatory agencies regulations and guidelines as well as maintain all organization policy and procedures.
  • Proficient in Microsoft suite.
  • Ability to work within Yardi.
  • Ability to work with Convercent Incident system.
  • Ability to work with Check requests and Authentisign.
  • High School Diploma.
  • Bilingual (English and Spanish), preferred.
  • Performs other related duties as required.
