Job Description
GENERAL POSITION OBJECTIVE
This role helps manage the flow of technical article content from contributor outreach through editorial review, web publication, newsletter promotion, and archive updates.
The Publishing Content Coordinator is a highly organized, detail-oriented communicator who can keep multiple articles, contributors, deadlines, and publishing platforms moving at the same time. This position works closely with the Creative Director, technical reviewers, designers, web developers, internal subject matter experts, and outside contributors to maintain a consistent, professional publishing schedule.
This is a hands-on coordination role for someone who enjoys content, communication, process, and accuracy. The ideal candidate does not need to be a technical expert in lubrication or reliability, but should be comfortable working with technical subject matter and helping subject matter experts turn their knowledge into publishable content.
POSITION RESPONSIBILITIES
Content Coordination and Contributor Management
- Identify and help recruit potential article contributors through industry research, speaker lists, internal recommendations, professional networks, and other relevant sources.
- Communicate with authors, speakers, internal subject matter experts, and technical contributors to request articles, answer questions, collect materials, and move content through the publishing process.
- Maintain organized records of contributor outreach, article topics, article status, publication timing, and related follow-up tasks.
- Coordinate with technical reviewers and editorial reviewers to keep articles moving through review, revision, and approval.
- Help coordinate Noria-authored articles by working with internal subject matter experts to develop article ideas, gather source material, or schedule recorded interviews when needed.
Publishing Calendar Management
- Maintain the publishing content calendar, including planned articles, received articles, editorial review status, publication dates, newsletter placement, and production notes.
- Use the content calendar to plan upcoming Machinery Lubrication and Reliable Plant newsletters and help ensure a reliable pipeline of content for future publication.
- Keep project management systems current so the publishing team can quickly see what is planned, in progress, under review, and ready to publish.
Web Publishing and Site Updates
- Build new article pages in Noria’s publishing system once content is ready for publication.
- Prepare and upload article content, headlines, images, graphics, author bios, categories, charts, links, and other required page information.
- Review published pages for formatting, accuracy, image placement, links, author information, and overall presentation quality.
- Coordinate with designers when article images, headers, or supporting graphics are needed.
- Assist with monthly site updates, including current article sections, site headers, article archives, magazine archive updates, and related publishing maintenance.
Newsletter Production
- Build recurring Machinery Lubrication and Reliable Plant email newsletters using established templates in HubSpot or other approved email platforms.
- Gather and prepare article images, preview text, author information, links, ad placements, whitepaper references, subject lines, and email preview text.
- Send test emails to the review group, collect feedback, implement changes, and schedule newsletters for approved send dates.
- Review newsletter performance data to understand which topics, subject lines, images, and preview text perform best, and apply those insights to future newsletters.
Quality Control and Publishing Support
- Proof pre-published and published content for formatting issues, broken links, incorrect author information, image problems, missing assets, and other publication errors.
- Help ensure article pages, newsletters, and archive updates meet Noria’s quality standards and brand expectations.
- Support improvements to publishing workflows, documentation, templates, and production processes.
KNOWLEDGE, SKILLS, ABILITIES, AND EQUIPMENT USED
- Strong organizational skills with the ability to manage multiple projects, contributors, reviews, and deadlines at once.
- Excellent written and verbal communication skills, including professional email etiquette.
- High attention to detail in copy, formatting, links, images, names, dates, and publishing schedules.
- Comfort working with authors, contributors, subject matter experts, reviewers, designers, and technical staff.
- Familiarity with CMS platforms, email marketing platforms, project management tools, and common office software.
- Experience with HubSpot, Monday.com, SharePoint, Microsoft Office, or similar tools is preferred.
- Ability to learn technical topics well enough to coordinate content accurately, ask good questions, and recognize when clarification is needed.
- Knowledge of AP Style or other editorial style guides is a plus.
- Knowledge of industrial maintenance, reliability, lubrication, manufacturing, or engineering-related content is preferred but not required.
- Physical requirements of this position can include but are not limited to: the ability to lift up to 25 pounds without assistance, moving objects in a general office setting, standing, climbing, bending, and other repetitive motions.
- Required use of office equipment can include but is not limited to: copier, shredder, scanner, phone, mouse, keyboard, computer, and multi-function printers.
- Ability to work in a mixed Mac/PC environment.
MINIMUM EDUCATION, CERTIFICATION, & LICENSURE QUALIFICATIONS
- Bachelor's degree in Journalism, Communications, Marketing, English, or a related field preferred.
- 3-5 years of experience in publishing, editorial coordination, content production, newsletter production, web content management, or a related role preferred.
