About This Position
Description:
The Secretary III (Administrative Assistant) provides advanced administrative and clerical support to the Naval Surface Warfare Center (NSWC) in Oceana, VA. This role supports government leadership and staff by performing a wide range of administrative functions, ensuring efficient office operations, and facilitating coordination across teams.
The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a structured federal environment.
Key Responsibilities- Provide comprehensive administrative support to NSWC personnel and leadership
- Prepare, edit, and format correspondence, reports, briefings, and official documentation
- Manage calendars, schedule meetings, and coordinate logistics for internal and external stakeholders
- Maintain and organize files, records, and documentation in accordance with federal and DoD requirements
- Serve as a point of contact for administrative inquiries and communications
- Track tasks, action items, and deadlines to ensure timely completion of work
- Assist with data entry, reporting, and maintaining spreadsheets and databases
- Coordinate travel arrangements and prepare travel documentation as required
- Support meeting preparation, including agendas, materials, and minutes
- Manage incoming and outgoing correspondence, including mail and email distribution
- Maintain office supplies and support general office operations
- Ensure accuracy, completeness, and organization of administrative records
- Education: High School Diploma required
- Experience: Minimum 2 years of administrative or clerical experience
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Strong organizational, multitasking, and time management skills
- Excellent written and verbal communication skills
- Ability to handle sensitive information with discretion
- Ability to work independently and as part of a team
- Experience: 2+ years of administrative support experience
- Prior experience supporting a federal or Department of Defense (DoD) environment
- Familiarity with Navy or NSWC administrative processes
- Experience supporting multiple teams or senior personnel
- Must be eligible to obtain and maintain a U.S. Secret security clearance
- Ability to pass a federal background investigation
