Job Description
Job Title: Ready Mix Dispatcher
Reports To: Dispatch Manager
Job Summary:
The Ready-Mix Dispatcher coordinates the scheduling and delivery of concrete orders, serving as a key point of contact between drivers, batchmen, sales, quality control, and customers. This role requires strong organizational skills, excellent communication, and the ability to manage multiple priorities in a fast-paced environment to ensure efficient and accurate operations.
Key Responsibilities:
Universal Duties:
- Answer phone calls promptly and provide professional, courteous customer service, addressing inquiries or complaints.
- Communicate changes in high-priority jobs to relevant departments and personnel.
- Prepare new orders according to company scheduling practices, prioritizing by delivery window, job size, or client type.
- Process card payments for CoD customers and accounts, forwarding details to accounting.
- Document jobs with special requirements (e.g., additives, third-party testers, gate codes).
- Monitor GPS and radio systems to identify and address driver or job issues.
- Contact customers to confirm and review next day’s orders.
- Prepare handoff emails to closing dispatchers, noting billing or operational issues.
- Maintain accurate data entry in dispatch software/system for all orders and communications.
- Escalate complex issues (e.g., scheduling conflicts, driver delays) to the Dispatch Manager.
- Verified accuracy of delivery addresses to ensure timely and correct shipments
- Filing Preliminary Liens on parcels that we deliver material to
- Review and analyze driver tickets and notes for accuracy, completeness, and follow-up actions
Opening Tasks:
- Review daily orders and assign indications for fiber, color, accelerators, etc.
- Process after-hours calls/texts, implement changes, and follow up as needed.
- Manage driver call-outs for canceled or rescheduled jobs.
- Coordinate with the Dispatch Manager or night shift to resolve carryover tasks.
- Ensure GPS and radio systems are functional, reporting issues to the appropriate department.
- Shipping Tasks:
- Collaborate with batchmen, dispatchers, sales, and QC to track active job statuses.
- Prioritize ongoing jobs and assign tickets to drivers efficiently.
- Resolve real-time issues (e.g., traffic delays, driver shortages) by adjusting schedules or reassigning tasks.
Closing Duties:
- Verify next day’s orders are confirmed and reviewed with customers.
- Prepare the Dispatch Summary, detailing daily metrics, issues, and next-day preview.
- Send driver call-outs for the following day.
- Update dispatch software with final job statuses and driver logs.
- Report recurring issues or process improvement suggestions to the Dispatch Manager.
- High school diploma or GED (required)
- Experience in Dispatching, logistics, or transportation (preferred)
- Ready-mix concrete or construction industry (strongly preferred)
- Basic knowledge of concrete types, mix designs, and delivery processes (often learned on the job)
- Ability to use dispatch software, GPS tracking, and scheduling systems
- Proficiency with computers (Microsoft Office, especially Excel)
- Radio communication systems (2-way radios)
- Strong verbal communication (drivers, plant operators, customers)
- Ability to handle high-pressure situations and multiple calls
- Customer service skills for coordinating with contractors and job sites
- Early mornings, long hours, and weekend work are common
- Fast-paced, high-stress environment (especially during peak construction season)
- Ability to sit for extended periods (dispatch desk/computer work)
- Occasional standing and walking around the plant or office
- Ability to bend, reach, and move as needed in an office/plant setting
- Light lifting up to 10–25 lbs (files, equipment, etc.)
