About This Position
Description:
JOB SUMMARY: Under general supervision and according to prescribed procedures this individual will be responsible for all daily operations in the optical dispensary necessary to properly service our patients’ eyeglass and contact lens needs.
RESPONSIBILITIES:
- Greets patients and visitors promptly in a pleasant and professional manner as they arrive.
- Answers telephone calls promptly and responds to messages/tasks within 24 hours.
- Checks on orders and retrieves prescriptions when necessary.
- Adjusts glasses for any Laurel Eye Clinic patient and adjusts glasses for a customer with an outside product after proper notification of the policy releasing responsibility for any potential damage.
- Accesses electronic health records to pull patients’ prescriptions and verify doctor recommendations/requests.
- Ensures that patients are properly educated regarding their vision prescription and eyeglass or contact lens options as well as warranties.
- Properly takes all necessary measurements to fill an eyeglass order or a lens only order.
- Creates the appropriate product order and corresponding charges for both glasses and contacts in the optical management system to be submitted to the vendor and the practice management system.
- Places special orders with optical companies or vendors directly.
- Maintains up to date, accurate daily paperwork and tracking reports for optical benchmarking.
- Uses the lensometer to verify the accuracy of new incoming eyeglass orders or existing eyeglass prescriptions.
- Maintains all proper accounting paperwork, including but not limited to monthly invoices and statements as well as inventory reports.
- Obtains authorizations and interprets vision insurance plans as needed and submits insurance claims on the insurance’s website.
- Dispenses all optical orders to the patient and indicates in the optical management system that the order was dispensed.
- Maintains inventory through monthly inventory reconciliation counts and processing vendor returns/exchanges and credits.
- Receives and posts patient payments for eyeglass or contact lens orders; including but not limited to copays and outstanding balances, and prepares a bank deposit as needed.
- Reconciles payments and charges prior to the close of each day.
- Maintains product displays with current product materials and merchandising.
- Opens and closes optical.
- Maintains optical supplies, including frame board replenishment between vendor appointments.
