JOB SUMMARY

The Office Services Coordinator is responsible for daily mailroom operations, processing incoming mail payments, posting financial transactions, and supporting Customer Service operations. This position also provides backup support to Customer Payments.

ESSENTIAL JOB FUNCTIONS

Processes all outgoing mail, ensuring proper addressing and accurate postage.

Operates and monitors the postage meter; replenishes funds and supplies as needed.

Maintains up-to-date knowledge of postal regulations and procedures impacting the City of Thomasville’s mailing operations.

Sorts and distributes incoming mail.

Handle processing of Federal Express shipments and returns.

Process supply orders for Customer Service.

Process incoming mail payments and posts transactions accurately.

Provide backup to the Customer Payments area as required.

Handle incoming phone payments.

Accurately receipts payments and provides customers with receipts.

Posts daily payments and maintains accurate financial records.

Counts, verifies, and bands cash received throughout the workday.

Balances daily transactions and prepares bank deposits.

Performs related duties as assigned.

QUALIFICATIONS

Education and Experience:

Must be 18 Years or older

Graduation from a standard High School or G.E.D.

Must have a valid driver’s license

Knowledge, Skills, and Abilities:

Ability to communicate clearly and effectively with the public

Basic computer skills with the ability to learn multiple software systems

General math skills with attention to accuracy and detail

PHYSICAL/MENTAL DEMANDS

Mobility to work in typical office settings using standard office equipment is required. In addition, vision to read printed materials and computer screen and hearing and speech to communicate in person or over the telephone. Mental stress or pressure of this position is occasional. Noise level in the work environment is usually moderate.

WORKING CONDITIONS

Occasional functions will include working overtime, using a copier, lifting 0-14 lbs., bending or squatting. The environmental working conditions of this position will include working inside. Noise level in the work environment is usually moderate.
