Position Overview:
The General Clerk (Administrative) is responsible for providing administrative and clerical support within a high-volume residential services program. This role ensures accurate data entry, documentation management, and administrative coordination to support daily operations, intake and discharge processes, and compliance reporting.
This position operates in a fast-paced, 24/7 environment where accuracy, attention to detail, and responsiveness are critical. The ideal candidate is organized, adaptable, and capable of supporting teams requiring quick turnaround and real-time documentation updates while maintaining strict confidentiality.
Key Responsibilities/Essential Functions:
Administrative & Clerical Support
Provide day-to-day administrative support to onsite program operationsMaintain organized filing systems (electronic and physical) for operational and personnel recordsPrepare reports, logs, and documentation to support program activitiesData Entry & Record Management
Accurately enter and update client intake, discharge, and service data into tracking systemsMaintain daily records related to population tracking, services provided, and program activitiesEnsure all records are complete, up-to-date, and aligned with reporting requirementsIntake/Discharge Documentation Support
Assist with processing and documenting intake and discharge activities in a timely mannerSupport preparation of required forms and documentation for client movement and servicesVerify documentation accuracy prior to submissionCompliance & Reporting
Support administrative requirements tied to daily, weekly, and monthly reporting deliverablesEnsure documentation aligns with internal policies and program compliance standardsAssist in preparing documentation for audits, inspections, or quality reviewsCommunication & Coordination
Serve as an administrative point of contact for internal teamsCoordinate information sharing between departments to ensure smooth operationsSupport scheduling, shift documentation, and administrative coordinationGeneral Office Support
Manage office supplies and maintain administrative workspacesAssist with document translation coordination and communication materials as neededPerform additional clerical duties to support program continuityRequired Qualifications & Core Competencies:
High school diploma or GED required2+ years of administrative, clerical, or data entry experienceExperience working in a fast-paced, high-volume environmentStrong data entry and computer skills (Microsoft Office Suite, data systems)Excellent organizational and time management skillsAbility to work under pressure with quick turnaround timelinesHigh attention to detail and accuracy in documentationStrong communication skills (written and verbal)Ability to maintain confidentiality and handle sensitive information appropriatelyAttention to detail and accuracyOrganizational efficiencyTime management and prioritizationAdaptability in dynamic environmentsProfessional communicationAccountability and reliabilityDesired Skills:
Experience in human services, residential programs, or administrative operationsFamiliarity with case tracking systems or database management toolsExperience supporting diverse populations in structured environmentsBasic understanding of:Trauma-informed care principlesDe-escalation awareness and communication techniquesBilingual (Spanish or other languages) preferredConditions of Employment:

Ability to sit at a computer workstation for extended periods while conducting data entry and interviewsAbility to stand and walk for extended periods during facility operations (up to 8-12 hours per shift)Ability to lift, carry, and move supplies and equipment up to 50 poundsAbility to bend, stoop, reach, and perform repetitive motionsCapability to work in varied environmental conditions (indoor/outdoor, temperature variations)Ability to respond quickly to emergency situations throughout the facilityVisual acuity for reviewing documents and data accuracyAbility to communicate effectively in a busy operational settingWork Environment:
