Education Administrative Assistant

The Job
This position works closely with the Director of Education (DOE) and the broader Education team to ensure smooth day-to-day operations of the religious school and education programming. The Education Administrative Assistant provides essential administrative, logistical, and communications support across the school year, including preparation of materials, coordination of special events, and ongoing communication with teaching staff and families. Some overlap with facilities, communications, and other CRC departments will be required.
This is a part-time support role intended to assist the Director of Education and Education team with program preparation, facilitation and day-to-day needs.
Hours: Part-time -- up to 20 hours per week. On site hours include when school is in session: Wednesdays 2:30 pm - 6:30 PM and Saturdays 9 AM - 1 PM. Hours will vary during special events and holiday programming.
Responsibilities
Materials Preparation and Communications
- In collaboration with DOE and the Director of Communications & Marketing, assist with school-related materials, communications, media, and graphic design needs.
- Help create, print and copy calendars, orientation materials, invitations, holiday information, Beit Mitzvah Workshop materials, event materials, lifecycle certificates, and flyers.
- Support communication with Teaching Staff and households throughout the school year.
- Help track school and education-related calendar dates, communication needs, and setup needs.
Staff Information and Agreements
- Track collection of Teacher and Madrichim information and agreements at the beginning of the year and process requests throughout the year.
- Update yearly Education staff information binders with student information, allergies, and emergency contact information.
- Create and manage sign-in sheets and assist with teacher and tutor payroll.
On-Site Support
- Be on-site during class times on Saturdays from 9:30 AM - 12:30 PM and Wednesdays 3 PM - 6:30 PM when students and parents are in the building.
- Assist DOE with preparation and implementation of all special events for students and parents, including school holiday programming, parent involvement opportunities, and Beit Mitzvah prep/workshops.
- Help plan and execute bulletin boards and visual displays in the Education wing, including student work, yearly themes, and holiday displays.
Events and RSVPs
- Assist with requests and collection of RSVPs and other responses for Education special events and recurring events, in collaboration with Communications.
- Assist DOE with planning and logistics for all student and parent special events including school holiday programming, parent involvement opportunities, and Beit Mitzvah prep/workshops.
Supplies and Materials
- Assist DOE with ordering, organization, and distribution of teaching supplies and requested materials.
- Assist Education staff with use of Google Suite, Canva, and Salesforce as needed.
- Keep the Education Suite supply closet stocked and organized.
Database and Records
- Assist in maintaining and using the Salesforce database to support class lists, contact requests, progress notes, and other student information needed or requested by staff.
- Ensure confidentiality of all educational paperwork, materials, student information, and related discussions.
Requirements and Skills
- Minimum 2 years of work experience in an administrative or educational support role
- Proficiency in Google Suite (Docs, Sheets, Calendar), Canva, and Microsoft Office; familiarity with Salesforce or CRM database helpful
- Solid knowledge of Jewish customs, holidays, lifecycle events, and culture
- Strong organizational skills with attention to detail and ability to manage multiple concurrent tasks
- Excellent written and verbal communication skills
- Must be customer service focused and comfortable working with children, parents, and teaching staff
- Must maintain absolute confidentiality at all times
- Able to work independently and set appropriate boundaries; seeks guidance from the Director of Education or Executive Director when faced with new or unfamiliar situations
- Basic knowledge of Hebrew helpful
