Job Function:

This position assists Student Rights and Responsibilities, specifically the Director, by interfacing with the college community through email, telephone, and in-person to provide the best support and customer service possible. This position will also be integral in the receipt, documentation, and response to College complaints. Student Rights and Responsibilities manages multiple confidential, time-sensitive, compliance-related activities and other delicate matters. The secretary is critical in ensuring student, staff, and faculty needs are met.

Primary Functions:

  • Provide administrative support for the Director of Student Rights and Responsibilities

  • Manage Student Rights and Responsibilities Outlook mailbox

  • Maintain Outlook calendars, including acting as a delegate for the Director

  • Process confidential and sensitive student disciplinary records, including dean requests and other background check information

  • Receive and triage College-wide complaints in person, over the phone, via email, and through the formal Maxient Concern to Ombudsman form

  • Assist students with next steps where there is an established process (e.g., assist with connecting students with the appropriate department chair for an academic concern)

  • Document in Maxient the steps taken to support student complaints and their resolution

  • Refer students to the Director, Student Rights and Responsibilities or the Associate Vice President of Student Development as needed to resolve complex complaints

  • Place and remove student holds in Banner

  • Schedule student and judicial board appointments and hearings

  • Organize and schedule required training with required attendees

  • Coordinate technology for meetings and other events

  • Provide Level 5 administrative support for the student conduct database, including configuration, creating new letters, training staff, and creating cases. Ensure accurate and completed student conduct files

  • Perform compliance and accuracy checks of the Student Rights and Responsibilities, Student Resources, and Student Consumer Information website

  • Manage email and correspondence/phone calls independently

  • Manage office operations, including ordering and maintaining office supplies and equipment

  • Assist with the budget process, including budget creation, requisitions, etc.

  • Coordinate travel arrangements and complete travel-related expense reports

  • Serve as a resource for students, referring them to appropriate offices on campus

  • Provide excellent customer service

  • Provide timely and accurate information to faculty, staff, students, and applicants

  • Hire, train, and supervise student workers as needed

  • Handle incoming mail

  • Other duties as assigned

CSEA Functions:

  • Prepare correspondence, reports, minutes, and proceedings of meetings, hearings, conferences, and other materials related to a specialized, confidential, or technical field

  • Compose and prepare routine correspondence and reports dealing with well-defined administrative activities

  • Compile data for inclusion in tentative budget estimates for departmental reports, etc., under the administrator's direction

  • Assist in preparing budget justifications

  • Read and route supervisor's mail, handling items/inquiries when possible and referring those items that can be delegated

  • Locate and attach appropriate information to correspondence to be answered by the employer

  • Proofread written materials for sense and consistency, as well as for spelling, grammar, and punctuation

  • Schedule conferences and meetings, ensuring all parties are contacted, and any scheduling conflicts are resolved

  • Make necessary travel arrangements, securing tickets and cash advances when appropriate

  • Maintain and establish confidential files and general office files

  • Act as the receptionist for the administrator, greeting visitors and scheduling appointments

  • Transmit administrative directives and policies throughout the unit

  • Order supplies and materials for the use of the section

  • Schedule the use of departmental facilities

  • Check, code, and process requisitions, claim vouchers, and bills

  • Supervise and train clerical staff

  • Operate standard office equipment

Secondary Functions:

  • Work collaboratively with the campus community - faculty, staff, and students - to maintain a culture of student engagement and success

  • Align all strategies with SUNY-wide initiatives and requirements

  • Perform additional duties as assigned by the Provost/Vice President, Academic and Student Services

Job Requirements:

Required Qualifications:

Must currently hold the Monroe County Clerk I title or meet the minimum qualifications to qualify for the HELPS program.

MINIMUM QUALIFICATIONS: Graduation from high school or possession of an equivalency diploma, plus EITHER:

(A) Graduation with an Associate's degree or successful completion of at least sixty (60) credit hours from a college or university, plus two (2) years paid full-time or its part-time equivalent office clerical or secretarial experience*; OR

(B) Four (4) years paid full-time or its part-time equivalent office clerical or secretarial experience.

*Experience as a Teller, Cashier, or Sales Clerk will not be considered appropriate experience for the purposes of these minimum qualifications.

Preferred Qualifications:

  • Bilingual and able to read, write, and speak Spanish, or other languages, proficiently



Additional Information:

Job Type: Full-Time, Permanent

Hours: 8:45 am to 4:45 pm, Monday through Friday

Salary: Starting salary is $49,281.77. Salary increase after six months.

Pay Transparency Disclaimer: The posted salary range represents the full salary scale for this position, which includes all pay steps within the range. The starting salary for all new hires is typically at the entry-level figure, as determined by the step placement of the Collective Bargaining Agreement. Progression through the range occurs over time based on established criteria such as length of service and performance. This range is provided to give applicants an understanding of the potential earnings over the course of a career in this role.
