Support Operations Specialist

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Support Operations Specialist based in the United States.

This full-time, fully remote role supports the day-to-day operations of an expanding online tutoring marketplace.
You will play a key role in keeping customer reporting, tutoring schedules, user rosters, and operational workflows accurate and efficient.
The position combines data management, administrative coordination, customer support, and process improvement.
You will work closely with customer success, accounting, tutoring, and other cross-functional teams to resolve issues and maintain smooth operations.
Your work will directly support district customers, tutors, and internal teams while helping ensure reliable service delivery.
The role is well suited to a highly organized professional who enjoys structured processes, detailed work, and solving operational challenges.
You will also have opportunities to recommend workflow and policy improvements in a fast-moving, education-focused environment.

Accountabilities
  • Prepare and compile tutoring session usage, attendance, and operational reports for district customers and internal accounting teams.
  • Collect and organize individual tutoring attendance data from virtual classroom systems when required for customer compliance.
  • Manage bulk user rostering and maintain accurate district rosters as customer updates are received.
  • Coordinate tutor substitution requests and session swaps in accordance with established procedures.
  • Manage bulk scheduling of tutoring sessions for district customers and process cancellations or schedule changes as needed.
  • Prepare tutoring session reports to support payroll processing and monitor tutor adherence to operational guidelines.
  • Support tutor onboarding by reviewing applications and certifications, responding to common questions, monitoring training completion, and verifying account and profile setup.
  • Investigate customer-reported issues, coordinate with cross-functional colleagues on resolutions, and communicate outcomes clearly.
  • Respond promptly and professionally to internal and external inquiries.
  • Identify opportunities to improve workflows, policies, and procedures and provide practical recommendations to management.
  • Maintain strong daily communication with leadership regarding activities, priorities, issues, and operational needs.
  • Complete additional related operational and administrative assignments as required.
Requirements
  • Associate’s degree plus at least three years of experience in an administrative or operations role, or an equivalent combination of education and experience.
  • Strong organizational skills and the ability to manage multiple responsibilities while maintaining accuracy and meeting strict deadlines.
  • Highly detail-oriented, thorough, and process-driven, with the ability to maintain quality while working efficiently.
  • Strong written and verbal communication skills, including professional business English and the ability to communicate effectively with internal and external stakeholders.
  • A collaborative, team-oriented approach with a strong sense of professionalism and ethics.
  • Ability to respond to customer and internal inquiries promptly, professionally, and effectively.
  • Demonstrated ability to follow established procedures and work reliably within structured processes.
  • Comfortable working under tight deadlines and taking ownership to ensure critical work is completed on time.
  • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, Project, and Visio, as well as general web-based tools.
  • Ability to investigate operational issues, identify appropriate solutions, and collaborate with colleagues across functions.
  • Ability to successfully complete the required background check.
  • No specific professional certifications or licenses are required.
  • Experience in education, tutoring, customer operations, scheduling, reporting, or a similar service environment would be advantageous.

  • Compensation: $21.07–$26.44 per hour, depending on experience, education, qualifications, location, and other relevant factors.
