I. Position Purpose: Responsible for the effective, efficient and safe maintenance, renovation and upkeep of parish buildings and grounds. Main duties include supervising the preventative, routine and emergency maintenance and upkeep of all buildings, assets and property for the Parish, including the school. Primary systems include HVAC, plumbing, electrical, security, fire safety, energy management, irrigation and grounds. May supervise one or more maintenance employees and will supervise outside contractors. A working position that performs routine to mid-level maintenance functions. This position also has responsibility for all I.T. duties for the Parish, including maintaining hardware, software, internet, phone, printers and copiers, including for the school.
II. Major Duties and Responsibilities for Facilities:
- In collaboration with Parish Operations Director, implements, administers and effectively manages a comprehensive property asset management system. This Centralized Maintenance Management System (CMMS) will be the primary tool for identifying, planning, scheduling, tracking costs, and documenting all facility support/maintenance requested & required (to include routine or preventative maintenance), and any capital improvement (accomplished “in-house” or by contract). Ensure all work and associated costs by vendor or contractor will be tracked and scheduled in the CMMS system to include custodial and landscaping contracts.
- The CMMS system contains three modules (work order management system, event managemnt & scheduling system, capital improvement planning) which will give transparent oversight to the Pastor, Parish Operations Director and School Principal of all maintenance and custodial work in progress.
- Will be key point of contact for staff and OpsHero (CMMS provider) for initial standup of CMMS system and any ongoing training requirements by the staff in leveraging the ongoing training provided by OpsHero.
- Utilizing the CMMS, develops an annual work plan regarding facility maintenance and upkeep for all parish and school properties.
- Assures the routine operation of all facility/plant systems and equipment. Per CMMS, conduct preventive equipment maintenance checks including plumbing, electrical, drainage, security systems and all church and school facilities operating systems. Discuss any tradeoffs with Ops Director and document in CMMS.
- In collaboration with Parish Operations Director, Pastor and school Principal, provides key input to a facilities operations budget for all parish and school properties. Monitors expenses and obtains proper authorization of expenditures within parish guidelines and utilizing CMMS.
- Participates in the recruitment and hiring process of all maintenance and custodial personnel in the parish and school.
- Trains, schedules and assigns work to maintenance and custodial personnel in the parish and school, whether employee or contractor via CMMS.
- Evaluates the methods and procedures used in performing the maintenance utilizing the AI capability in CMMS system. Evaluate custodial duties and revises as necessary. Evaluates work ethic, timeliness and quality of all maintenance and custodial services, whether employee or contractor and document in CMMS system.
- Utilizing CMMS, evaluates and maintains HVAC and all energy usage and management systems.
- Assigns opening and closing of all facilities on campus daily as needed for parishioners, students and other visitors. Ensures security protocols are operational and adhered to.
- Supervises as well as performs required maintenance effectively and efficiently for all parish and school property as required, providing prompt response to requests and urgent concerns. Respond to facility alarms, alerts and system failures.
- Ensures parking lots are well maintained with appropriate ingress and egress.
- Utilizing CMMS, ensure all landscaping is appropriately cared for and maintained, whether by employees or contractors and documented accordingly.
- Proactively collaborates with Parish Operations Director as necessary on critical maintenance and repair work that is unscheduled and unbudgeted utilizing CMMS.
- Maintains parish and school facilities blueprints, maps, and equipment operating procedure manuals, serial numbers and warranty documents via CMMS.
- As directed by Pastor, Parish Operations Director and/or Principal, coordinates safety and security procedures for entire campus.
- At the direction of Parish Operations Director, issues RFPs/documented solicitations for maintenance and custodial work that is not done by staff. Assists Parish Operations Director with evaluating proposals and contract negotiations. After Pastor has signed contract, oversees the fulfillment of contract terms. Properly load & document in CMMS.
- Assists the Pastor and Parish Operations Director in preparing information for major capital projects, including building renovation, remodeling or improvement. If project is approved, serves as the liaison between the parish or school and the contractor(s) and vendors in overseeing completion of work.
- Maintains adequate inventory of custodial, maintenance and operational supplies. Purchases or rents supplies/equipment within budget.
- Maintains and inventories parish tools and equipment.
- Maintains current level of knowledge and skills required to perform the job. Attends workshops and classes. Maintains required licensing and membership/affiliation with appropriate professional organizations.
- Coordinates annual inspection of facilities with Diocese Risk Management.
- Ensure all parish and school facilities are in compliance with health and safety standards and required codes.
III. IT and Audio/Visual Responsibilities
- Responsible for all computer hardware, networking and software for office.
- Manage contracts and equipment for all copiers and printers on property.
- Maintains and updates all software including Microsoft Office Products, PDS and all other software.
- Manages and maintains security camera hardware and software.
- Ensures all audio-visual systems are operational within the church, FLC, ballroom and school.
I. Basic Qualifications
- Strong commitment to the mission of St. Peter the Apostle Catholic Church.
- Minimum 5 years of experience supervising maintenance and custodial staff in a distributed facilities environment, including a school with buildings and grounds or industrial facility maintenance.
- Must successfully pass a background, criminal history and credit history check.
- Effective communications skills, verbal and written with ability to exercise courtesy to fellow employees, parishioners and the public.
- Proven ability to plan and organize work effectively and efficiently.
- Experience deploying and effectively utilizing a web-based facilities asset management and work order system.
- Ability to diagnose and perform routine to mid-level repairs. MEP licensing a plus.
- Experience selecting and supervising facilities maintenance contractors in contract performance.
- Proficient in Microsoft Office; able to understand, learn and use technology-based systems.
- Ability to work from ladders, adjust to height and close quarters, withstand heat and cold, good eye-hand coordination and flexibility. Ability to safely lift up to 50lbs. Ability to operate equipment, owned and rented, to include backhoe and lifts; heights to 40’.
- On-call availability for emergencies
- High School Education or equivalent.
- Must have a clean, neat appearance and professional demeanor.
