Enters and maintains schedules in scheduling/timekeeping software and fills open shifts as directed by Nursing Leadership. Collaborates with Nursing Leadership to book unfilled shifts, communicate with the Patient Flow Manager or Administrative Clinical Supervisor, and ensure accurate timekeeping. Responsibilities include managing sick calls, schedule swaps, bonus shifts, and preparing weekly timecards. Supports unit staffing requirements and assists with special projects as designated by Nursing Leadership.
I. Major Responsibilities:
1. Maintain accurate schedules and timecards for assigned departments using scheduling/timekeeping software.
2. Track scheduling changes, position control, and weekly data (e.g., bonus logs, overtime).
3. Utilize core staffing patterns and budgetary guidelines to book shifts and adjust staffing levels.
4. Schedule staff and approve/deny time off and shift swaps per CBA and unit guidelines.
5. Attend daily bed meetings and communicate staffing needs based on census and acuity.
6. Take sick calls, provide coverage, and round with staff to assess and fill shift vacancies.
II. Position Qualifications:
License/Certification/Education:
Required:
1. High School Diploma or equivalent.
Preferred: (None specified)
Experience/Skills:
Required:
1. Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
2. Experience with scheduling and/or timekeeping software.
3. Strong interpersonal, communication, and organizational skills.
4. Ability to multitask, problem solve, and analyze complex staffing schedules.
Preferred:
1. Experience in a healthcare staffing office or similar role.
2. Experience with Kronos timekeeping software.
Unless certification, licensure or registration is required, an equivalent combination of education and experience which provides proficiency in the areas of responsibility listed in this description may be substituted for the above requirements.
Department-specific competencies and their measurements will be developed and maintained in the individual departments. The competencies will be maintained and attached to the departmental job description. Responsible managers will review competencies with position incumbents.
