Human Resources Operations Coordinator

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Human Resources Operations Coordinator based in the United States.

The Human Resources Operations Coordinator plays an important role in delivering a smooth and consistent employee experience across the full employment lifecycle. You will coordinate onboarding, job changes, transfers, offboarding, and other core HR operations for team members across North America. Working closely with HR, Talent Acquisition, Payroll, Benefits, IT, and business stakeholders, you will help ensure processes are accurate, timely, and employee-focused. The role combines day-to-day HR coordination with opportunities to improve workflows, documentation, systems, and service delivery. You will serve as a trusted resource for employees and managers, helping them navigate HR programs, processes, and technology. Accountabilities:
  • Coordinate key HR Operations activities throughout the employee lifecycle, including onboarding, job changes, transfers, and offboarding, ensuring each process is completed accurately and on time.
  • Serve as a trusted point of contact for employees, managers, and HR partners by answering questions, providing guidance, and helping stakeholders navigate HR programs, processes, systems, and requirements.
  • Proactively anticipate employee and stakeholder needs, identify potential challenges, and take appropriate action to deliver a seamless and positive HR experience.
  • Maintain accurate and timely employee information within HR systems, investigate inconsistencies, and resolve data or process-related issues while maintaining strong attention to detail.
  • Support recurring and annual HR initiatives such as open enrollment and performance management, helping ensure activities are coordinated effectively and delivered according to established timelines.
  • Identify opportunities to simplify workflows, strengthen operational efficiency, and improve the overall employee and stakeholder experience through practical process enhancements.
  • Develop and maintain job aids, knowledge articles, process documentation, and other resources that promote consistency, clarity, and effective adoption of HR processes.
  • Collaborate with HR, Payroll, Benefits, Talent Acquisition, IT, and other internal stakeholders to support the successful delivery of HR programs, initiatives, and employee services.
  • Participate in HR projects and organizational initiatives, including acquisitions, integrations, HR system enhancements, and broader process improvement efforts.
  • Contribute to a culture of continuous improvement by sharing ideas, supporting implementation activities, and helping evolve HR service delivery as organizational needs change.
Requirements
  • Bring at least 3 years of experience as an HR Coordinator, HR Specialist, HR Generalist, or in a comparable human resources operations role.
  • Hold a Bachelor’s degree in Human Resources, Business Administration, or a related field, or possess equivalent relevant education and experience.
  • Have strong experience using Microsoft Office Suite and demonstrate the ability to navigate HR systems, technology platforms, and digital tools with confidence.
  • Previous ownership of a full employee onboarding process is strongly preferred, particularly experience coordinating multiple stakeholders and ensuring a smooth transition into the organization.
  • Demonstrate strong interpersonal skills and the ability to build trusted relationships with employees, managers, HR colleagues, and cross-functional stakeholders in a fully virtual environment.
  • Bring a strong sense of ownership and a service-oriented approach to problem solving, with the ability to take initiative and follow issues through to resolution.
  • Have excellent written and verbal communication skills, including the ability to explain complex HR processes clearly, professionally, and in an approachable manner.
  • Demonstrate strong organizational and prioritization skills, with the ability to manage multiple activities and competing deadlines while maintaining accuracy and a high-quality employee experience.
  • Be adaptable and comfortable working through change, ambiguity, evolving priorities, and process improvements in a fast-paced environment.
  • Demonstrate an interest in operational excellence and the ability to identify practical improvements that enhance efficiency, consistency, and employee service delivery.
  • Be willing to work business hours aligned with the Pacific Standard Time (PST) zone, with preference for candidates already based in that time zone.
  • A Senior Professional in Human Resources (SPHR) certification is preferred but not required.
