Title: HRIS Administrator

Summary / Objective

The HRIS Administrator is responsible for configuring, maintaining, ensuring data integrity, and reporting for the HR Information System (HRIS) and related HR technology platforms. They partner with HR, IT, and business stakeholders to ensure the HRIS supports business needs, drives data-driven insights, and enables efficient HR operations.

In addition, this position is responsible for supporting all aspects of the Human Resources Department, as well as supporting the responsibilities of the Human Resources Supervisor and the VP, Director of Human Resources & Clerk of MutualOne Bank, which include (but may not be limited to): recruitment, compensation, benefits, employee relations, compliance records, reports, supply ordering, postage management, Board portal/administrative support, and assisting with the MutualOne Charitable Foundation. The initial training period will be on-site. After the initial training period, time to be determined, this is a hybrid role.

Experience & Education Requirements:

  • Bachelor’s degree in HR, Information Systems, computer science, or related field (or equivalent experience)

  • Knowledge of federal and state human resources policies, procedures, and regulatory requirements.

  • 3 or more years of experience working with HRIS/HR systems (implementation, support, configuration)

  • Experience with major HRIS platforms (e.g., Workday, ADP, Paycom) or willingness to learn.

Qualifications

Specific Job Functions:

HRIS System Maintenance:

  • Manage day-to-day HRIS operations: system configuration, user access, troubleshooting, and upgrades.

  • Ensure employee and HR data is accurate, up-to-date, and consistent (personal info, job details, compensation, benefits, and performance).

  • Develop and maintain HRIS processes, policies, and documentation (data governance, user guides, and workflows).

  • Collaborate with HR business partners, IT, and vendors to understand requirements and execute system changes and integrations (e.g., payroll, time & attendance, onboarding).

  • Provide training and support to HR users and employees on HRIS functionality and self-service tools.

  • Generate HR reports and analytics to support workforce planning, HR metrics, and trends.

  • Ensure compliance with data protection and security standards and audit-readiness for HR systems.

  • Proactively identify process improvements, automation opportunities, and system enhancements to increase HR effectiveness.

Data & HR Metrics:

  • Analyze HR data such as turnover, engagement, and performance metrics

  • Provide insights and recommendations to leadership to improve workforce outcomes

  • Provide support with ATS, employee onboarding and offboarding processes.

  • Review and update the internal employee Intranet, as needed.

  • Support VP, Director of Human Resources & Clerk of MutualOne Bank by gathering information for various audits, including but not limited to, the bi-annual Payroll/Benefits/HR audit.

  • Assist the VP, Director of Human Resources & Clerk of MutualOne Bank, on special projects.

  • Bank Secrecy Act responsibilities, including completing annual basic Bank Secrecy Act training, reporting suspicious activity to the BSA Officer and “Knowing Your Customer.”

  • Completion of Information Technology training, as assigned and required.

HR Programs & Compliance:

  • Communicate annual departmental policies and obtain signed acknowledgement forms from employees.

  • Review employee timecards, employee punch change requests, floating holiday(s), PTO, vacation time, paid medical leave (PML), paid family leave (PFL), jury-duty, bereavement, and seminar time off on a bi-weekly basis and produce the reports for payroll processing.

  • Supports bi-weekly payroll processing including submission, funding, vouchers, and troubleshooting.

  • Notify employees via email/Paycom regarding current job openings within MutualOne Bank.

  • Email the IT helpdesk and applicable departments regarding any new hires, transfers, promotions, leave starts/stops & exits for set-up, deactivation, etc. on various systems.

  • Monitor the performance review process, confirming that job descriptions are also reviewed by the supervisor and/or manager at least annually, and ensure that both the performance review and job description are completed and fully executed in a timely manner.

  • Maintain applicant tracking system, which includes uploading/reviewing resumes, emailing applications, monitoring and ensuring all applicable workflow steps are completed, etc.

  • Oversee and maintain employee insurance changes, resolve issues related to enrollment, cancellation, and billing including benefits to carrier support.

  • Administer the health, dental, vision, flexible spending accounts (health & dependent care), as well as supplemental insurance benefits, including payments for employees on leave, retirees, and COBRA payments for prior employees. Process tMagic Teller Capture Transactions to deposit benefit payments, withdraw payments from bank accounts and post the payments to the applicable general ledger accounts.

  • Manage the leave process for the employees, including keeping the manager informed of the date the employee will begin leave, the length of time the employee will be out on leave and the date the employee plans to return to work.
