Job Description

Company Description:

Rafiki Coalition for Health and Wellness is a San Francisco-based nonprofit dedicated to eliminating health inequities and improving the lives of Black, African American, and marginalized communities in the Bay Area. For over 35 years, we have provided a safe, welcoming space where health, healing, and hope come together. We offer a holistic range of services, including free and low-cost health screenings, HIV prevention and care, mental health counseling, housing and economic support, fitness classes, and nutrition programs. Guided by a belief that wellness is more than the absence of illness, we embrace a whole-person approach that honors the cultural, social, and emotional needs of our community.

At Rafiki, we are more than a service provider. We are a trusted partner, advocate, and resource. Our work is rooted in compassion, cultural humility, and a commitment to social justice. Every day, our team stands with our community to dismantle barriers, amplify voices, and create pathways to health and opportunity.

If you're looking to join a mission-driven organization where your work directly empowers individuals and strengthens communities, Rafiki Coalition is the place to make a meaningful impact

Job Description:

The Director of Operations leads Rafiki Coalition's facilities and business operations, project execution, vendor and asset management, safety systems, and operational compliance. The position ensures that facilities, systems, contracts, and procedures are reliable, efficient, safe, and aligned with program needs, funder commitments, and applicable requirements. The Director coordinates with Human Resources, Finance, program leadership, Development, and external specialists when responsibilities overlap.

SUPERVISORY RESPONSIBILITIES

Supervises assigned operations, facilities, administrative, security, and support employees or contractors.

ESSENTIAL RESPONSIBILITIES

Facilities and Business Operations

  • Oversee the daily operation, maintenance, accessibility, security, appearance, and readiness of offices, residential facilities, and other Rafiki locations.
  • Coordinate repairs, preventive maintenance, space use, supplies, equipment, transportation, access controls, and shared operational services.
  • Develop and maintain practical operating procedures, schedules, records, service standards, and systems that support employees, clients, residents, programs, and visitors.
  • Identify operational risks, service gaps, and inefficiencies; recommend priorities and implement approved improvements.

Project Management and Funder Compliance

  • Lead operational projects such as facility improvements, moves, renovations, system implementations, inspections, and organization-wide initiatives from planning through closeout.
  • Establish project scope, responsibilities, schedules, milestones, budgets, dependencies, risks, approvals, and documentation; track progress and resolve barriers.
  • Coordinate with program leadership, Development, Finance, and executive leadership to identify and implement operational requirements in grants, contracts, and funding commitments.
  • Maintain nonfinancial evidence for funder reports, monitoring visits, audits, and contract reviews; track findings and corrective actions through timely completion.

Regulatory Compliance, Safety, and Emergency Preparedness

  • Coordinate facility and operational compliance with applicable Cal/OSHA, San Francisco Department of Public Health, fire, building, environmental health, accessibility, workplace safety, and other requirements.
  • Maintain calendars and records for permits, licenses, postings, inspections, testing, renewals, findings, training support, and corrective-action deadlines.
  • Maintain emergency action, evacuation, disaster response, facility security, and business-continuity plans; coordinate drills, safety inspections, alarm testing, emergency supplies, and safety equipment.
  • Promptly address or escalate hazards and compliance concerns. Coordinate with Human Resources on employee safety, required training, workplace violence prevention, incident response, and employee-related corrective action; engage qualified specialists as needed.

Vendor, Purchasing, Budget, and Asset Management

  • Select and manage approved vendors and contractors; obtain quotes and monitor service, licensing, insurance, safety, confidentiality, and contract compliance.
  • Coordinate purchasing and confirm receipt of goods and services; provide Finance with complete invoices, contracts, approvals, budget information, and funder documentation.
  • Develop and monitor proposed and approved operating and project budgets, identify variances and cost-saving opportunities, and maintain appropriate controls without assuming Finance's accounting or reporting duties.
  • Maintain accurate inventories and records for contracts, equipment, vehicles, furnishings, keys, technology, and other assets, including assignment, return, replacement, storage, and disposal.

Leadership and Organizational Coordination

  • Set priorities and performance expectations for assigned employees and contractors; provide direction, coaching, feedback, development, and adequate operational coverage.
  • Coordinate operational needs, decisions, ownership, approvals, timelines, and communications across departments and locations.
  • Support reliable technology and systems for facilities requests, projects, scheduling, inventory, compliance tracking, document management, communications, and employee access or equipment transitions.
  • Provide leadership with timely information about project status, costs, service disruptions, safety concerns, compliance risks, and decisions requiring escalation.

Requirements:

QUALIFICATIONS

  • Bachelor's degree in business administration, operations management, facilities management, nonprofit management, project management, or a related field, or an equivalent combination of education and relevant preparation.
  • Strong knowledge of facilities operations, project planning, vendor and contract administration, safety practices, and organized compliance documentation.
  • Ability to interpret operational requirements, build workable systems, manage competing priorities, solve problems, exercise sound judgment, and follow through consistently.
  • Strong communication, supervision, collaboration, technology, organization, and analytical skills.

PREFERRED QUALIFICATIONS

  • Project-management training or certification.
  • Experience in nonprofit, health and human services, behavioral health, residential, community-based, or multi-site operations.
  • Working knowledge of Cal/OSHA, DPH, fire, building, accessibility, emergency-preparedness, government-contract, grant-monitoring, audit, or inspection requirements.

Additional Information:

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS

  • Regular on-site presence and travel between Rafiki locations; occasional evening, weekend, or after-hours availability for emergencies, inspections, events, or time-sensitive matters.
  • Regular computer and communication-system use and frequent interaction with employees, clients, vendors, and visitors.
  • May require walking through facilities, using stairs, inspecting work areas, and occasionally moving or arranging the movement of supplies or equipment. Reasonable accommodations will be provided as required by law.

FLSA AND EMPLOYMENT CLASSIFICATION

This position is intended to be classified as exempt under applicable federal and California wage-and-hour requirements. Rafiki Coalition may review and revise the classification as necessary to maintain compliance.

OTHER DUTIES

This description summarizes the position's primary responsibilities and is not exhaustive. Duties may change based on organizational needs, funding or regulatory requirements, and reasonable direction from the Chief Executive Officer.

Application Instructions:

To apply, please submit a resume and a cover letter explaining why you would be a good fit for Rafiki Coalition and how your experience, skills, and qualifications prepare you for this position.
