About Us
- Plan and coordinate logistics for meetings, trainings, webinars, and other project-related events.
- Maintain project calendars, trackers, and timelines using project management software to support program activities, deliverables, and reporting deadlines.
- Coordinate communications with project team members, external partners, and stakeholders to share timely updates, reports, and other information as needed or required.
- Draft, edit, and distribute professional communications for internal and external audiences.
- Proofread and format reports, presentations, and other materials to ensure accuracy, consistency, and alignment with CIBHS templates and branding standards.
- Prepare meeting agendas and materials, prepare meeting minutes and track follow-up items.
- Design key project collateral and materials, including graphics, flyers, announcements, agendas, presentations, handouts, and participant resources.
- Set up and manage event registration sites; monitor registrations, cancellations, and participant inquiries.
- Coordinate with consultants, partners, and funders to support training needs, timelines, materials, and invoice submission.
- Maintain organization project records, including deliverables, materials, and other project documentation.
- Participate in internal team meetings and contribute to ongoing process improvements.
Qualifications
- Bachelor’s degree in a related field, or equivalent combination of education and experience.
- At least two (2) years of experience supporting complex projects in a team-based professional environment.
- At least two (2) years of experience developing content and performing basic video editing for social media, newsletters, email, or other digital channels.
- Familiarity with behavioral health, healthcare, public health, human services, nonprofit, or government-funded programs is preferred.
- Proficiency and hands-on experience with a variety of technology platforms and tools, including:
o Customer relationship management (CRM) systems, such as Zoho (preferred).
o Project management software, such as Monday.com.
o Survey and evaluation tools, such as Qualtrics, SurveyMonkey, or Alchemer.
o Email marketing platforms, such as MailChimp or Zoho Campaigns.
o Web-based platforms for event registration, website content management, and training or learning management.
o Canva or similar tools for creating and editing visual content.
o Virtual meeting platforms, such as Zoom and Microsoft Teams.
o Microsoft applications and collaboration tools, including Microsoft Office and SharePoint.
- Excellent organizational, time management, problem-solving, and follow-through skills.
- Demonstrated ability to coordinate timelines, logistics, documentation, and deliverables with strong attention to detail.
- Ability to manage multiple projects, shifting priorities, and competing deadlines in a fast-paced environment.
- Strong proofreading, editing, written communication, and verbal communication skills.
- Ability to work independently, anticipate needs, and communicate effectively with internal and external stakeholders.

Compensation and Benefits
- $70,000 - $75,000 per year

Work Location and Schedule
This is a full-time remote position. The selected candidate must reside in California and be available for occasional travel for meetings, trainings, conferences, or project-related activities. Travel may include air travel and overnight stays.
