Bridging policy and practice, CIBHS partners with state and local agencies, providers, and community organizations to deliver expert training, technical assistance and capacity building; and third-party administration services.

Position Overview

CIBHS is seeking a detail-oriented, proactive Senior Project Coordinator to support the administration and implementation of complex behavioral health initiatives serving communities across California. This position will play a key role in coordinating the day-to-day activities of the Children and Youth Behavioral Health Initiative (CYBHI) grant program. As Senior Project Coordinator, you will maintain project management boards, program databases, calendars, trackers, and related documentation to keep project activities, deadlines, and deliverables on schedule. You will also coordinate meetings and manage communications with internal teams, grantees, consultants, and other key partners. Your support will help keep the project organized, on schedule, well documented, and aligned with program goals and requirements.

This role is ideal for someone who enjoys bringing structure to complex work, coordinating multiple moving pieces, communicating with diverse stakeholders, and supporting mission-driven projects that improve behavioral health systems and services.

Key Responsibilities

  • Plan and coordinate logistics for meetings, trainings, webinars, and other project-related events.
  • Maintain project calendars, trackers, and timelines using project management software to support program activities, deliverables, and reporting deadlines.
  • Coordinate communications with project team members, external partners, and stakeholders to share timely updates, reports, and other information as needed or required.
  • Draft, edit, and distribute professional communications for internal and external audiences.
  • Proofread and format reports, presentations, and other materials to ensure accuracy, consistency, and alignment with CIBHS templates and branding standards.
  • Prepare meeting agendas and materials, prepare meeting minutes and track follow-up items.
  • Design key project collateral and materials, including graphics, flyers, announcements, agendas, presentations, handouts, and participant resources.
  • Set up and manage event registration sites; monitor registrations, cancellations, and participant inquiries.
  • Coordinate with consultants, partners, and funders to support training needs, timelines, materials, and invoice submission.
  • Maintain organization project records, including deliverables, materials, and other project documentation.
  • Participate in internal team meetings and contribute to ongoing process improvements.

Qualifications

  • Bachelor’s degree in a related field, or equivalent combination of education and experience.
  • At least two (2) years of experience supporting complex projects in a team-based professional environment.
  • At least two (2) years of experience developing content and performing basic video editing for social media, newsletters, email, or other digital channels.
  • Familiarity with behavioral health, healthcare, public health, human services, nonprofit, or government-funded programs is preferred.
  • Proficiency and hands-on experience with a variety of technology platforms and tools, including:

o Customer relationship management (CRM) systems, such as Zoho (preferred).

o Project management software, such as Monday.com.

o Survey and evaluation tools, such as Qualtrics, SurveyMonkey, or Alchemer.

o Email marketing platforms, such as MailChimp or Zoho Campaigns.

o Web-based platforms for event registration, website content management, and training or learning management.

o Canva or similar tools for creating and editing visual content.

o Virtual meeting platforms, such as Zoom and Microsoft Teams.

o Microsoft applications and collaboration tools, including Microsoft Office and SharePoint.

  • Excellent organizational, time management, problem-solving, and follow-through skills.
  • Demonstrated ability to coordinate timelines, logistics, documentation, and deliverables with strong attention to detail.
  • Ability to manage multiple projects, shifting priorities, and competing deadlines in a fast-paced environment.
  • Strong proofreading, editing, written communication, and verbal communication skills.
  • Ability to work independently, anticipate needs, and communicate effectively with internal and external stakeholders.

Compensation and Benefits

  • $70,000 - $75,000 per year

Work Location and Schedule

This is a full-time remote position. The selected candidate must reside in California and be available for occasional travel for meetings, trainings, conferences, or project-related activities. Travel may include air travel and overnight stays.
