Job Description

Summary: The NCAA Eligibility Certifying Officer serves as the institution's primary academic eligibility specialist and is responsible for certifying and monitoring the eligibility of Queens student-athletes in accordance with NCAA, ASUN Conference, and University regulations. This position plays a critical role in supporting the University's commitment to academic excellence and competitive integrity by ensuring accurate certification for practice, competition, and athletics aid. The successful candidate will collaborate closely with Athletics Compliance, Student-Athlete Success Services, the Registrar's Office, Admissions, Financial Aid, faculty, and coaching staff to promote student-athlete success and institutional compliance.

This position is exempt from provisions of the Fair Labor Standards Act (FLSA) and is not eligible to earn overtime pay for hours worked above 40 in a single work week. This position is not eligible for visa sponsorship.

Essential Duties and Responsibilities include:

  • Certify initial, transfer, and continuing eligibility for all Queens student-athletes in accordance with NCAA, ASUN Conference, and institutional requirements.
  • Conduct comprehensive reviews of transcripts, degree audits, transfer evaluations, enrollment records, and academic progress reports.
  • Monitor progress-toward-degree requirements, full-time enrollment, GPA benchmarks, and other NCAA academic eligibility standards.
  • Partner with Student-Athlete Success Services to support student-athletes' academic progress and retention.
  • Collaborate with the Registrar's Office to ensure accurate application of degree requirements and transfer credits.
  • Maintain eligibility certification records and supporting documentation in accordance with NCAA and institutional standards.
  • Prepare eligibility reports and communicate certification decisions to coaches, athletics administrators, and campus partners.
  • Assist with NCAA, conference, and institutional reporting requirements, audits, and reviews.
  • Monitor changes in NCAA legislation and recommend process improvements to ensure continued compliance.
  • Develop and deliver educational programming for coaches, athletics staff, and campus stakeholders regarding eligibility regulations and best practices.
  • Serve as a resource for interpreting NCAA academic and transfer eligibility legislation.
  • Contribute to the University's mission of educating students for lives of purpose and professional success.
  • Perform additional duties as assigned to support the goals of Athletics and Student-Athlete Success Services.

Non-Essential Duties include:

  • Performs other duties and responsibilities to meet the needs of the University.

Experience, Knowledge and Skills Required:

  • Bachelor's degree from an accredited institution.
  • Two or more years of experience in NCAA compliance, athletic academic services, registrar operations, academic advising, or a related higher education field.
  • Working knowledge of NCAA academic eligibility and transfer legislation.
  • Strong analytical, organizational, and problem-solving skills.
  • Excellent interpersonal and communication skills with the ability to build collaborative relationships across campus.
  • Ability to manage confidential information with discretion and professionalism.
  • Proficiency in Microsoft Office and student information systems.
  • Thorough understanding of NCAA academic eligibility, progress-toward-degree, and transfer regulations.
  • Strong attention to detail and commitment to accuracy.
  • Ability to interpret and apply complex regulations consistently.
  • Ability to prioritize multiple projects and meet critical deadlines.
  • Demonstrated commitment to student success, integrity, collaboration, and service.
  • Ability to contribute positively to a student-centered and mission-driven university environment.

Preferred Qualifications

  • Master's degree in Higher Education, Sports Administration, Student Affairs, or a related discipline.
  • Experience within NCAA Division I athletics.
  • Experience working with degree audit systems, transfer evaluations, and student information systems.
  • Familiarity with ASUN Conference rules and procedures.
  • Experience supporting student-athlete academic success initiatives.
