About This Position

Job Summary:

Hilldrup is seeking a detail-oriented International Administrative Assistant who, under general supervision, provides a variety of clerical support and communication duties necessary for the efficient operation of the International Department. The incumbent will be responsible for sending documentation to overseas partners via email, as well as registration of orders in Movers Suite, United system and Quotes to Go.

Supervisory Responsibilities:

None

Duties/Responsibilities:
  • Registration of orders in Hilldrup Systems.
  • Sending survey requests and processing, updating survey results in Mover Suite.
  • Update and maintain date, notes in Movers Suite and other account systems.
  • Process insurance/valuation certificates.
  • Assist Customer Service and/or Operations with various administrative duties including on-books calls, pack and load check calls.
  • Assist in answering the department telephones and direct calls to appropriate party.
  • Sending wire and check requests.
  • Assist with creating/managing reports.
  • Assist with 3rd party request and parking permit puller.
  • Follows up on different issues as necessary.
  • Receive and save documentation in document management.
  • Assist Operation team with various documents to agents, vendor etc.;
  • Assist staff members with other duties as assigned.
  • Performs other duties as assigned.

Required Skills/Abilities:
  • Ability or performance history of meeting and exceeding objectives and deadlines.
  • Highly organized and able to set priorities effectively.
  • Ability to maintain a high level of accuracy and proficiency in a fast paced, high-pressure work environment.
  • Ability to access, enter, modify, and print data on a PC.
  • Ability to accurately perform and verify mathematical calculations and to accurately review and proof information.
  • Proficiency using Microsoft Office programs.
  • Excellent verbal and written communication skills.
Qualifications

Required Education: High school diploma or equivalent work experience.

Required Experience: A minimum 1 year of relevant work experience in a business office environment.

Physical Demands:

Work is performed in a typical, comfortable interior work environment which does not subject the employee to any unpleasant elements; individual has discretion in relation to walking, standing etc., and has minimal exposure to physical risks.
