What will you do?
- Manage the CEO's communications, prioritizing emails and handling inquiries professionally.
- Coordinate complex schedules, meetings, and travel arrangements for the CEO and the team.
- Manage and maintain the CEO's calendar, ensuring effective time management and scheduling of commitments
- Manage the Sydney office, including reception duties, maintaining office supplies, and ensuring a professional work environment. Organize and facilitate on-site meetings, including visitor management and logistics.
- Prepare professional documents, presentations, and reports using Canva and Google Workspace. Contribute to the creation of marketing materials using Canva and other design tools.
- Handle administrative tasks including document management, expense tracking, and new employee onboarding.
- Assist in planning and executing corporate events, trade shows, and product launches. Coordinate with vendors and manage event logistics to ensure smooth operations.
- Support merchandising strategies, including inventory management of promotional items.
- Conduct research and provide analytical support for various initiatives.
- Maintain strict confidentiality with sensitive information.
- Assist with special projects and ad-hoc assignments as needed
Who are you?
Minimum 5 years of experience as an Executive Assistant or in a similar role
Bachelor's degree in Business Administration, or a related field
Experience in office management and reception duties
Knowledge of travel booking and logistics management
Experience in event planning and basic marketing principles
Proven track record of providing high-level administrative support
Exceptional time management, organizational, and multitasking abilities
Strong attention to detail and commitment to confidentiality
Advanced proficiency in MS Office, Google Workspace, and Canva
Excellent written and verbal communication skills
Ability to work independently and collaboratively in a dynamic environment
Strong problem-solving and critical thinking skills
Interest in the space industry and willingness to learn
