ABOUT THE ROLE

🌌 Come and join our exciting orbit as an Executive Assistant & Office Manager at Space Machines Company 🌌

Space Machines Company is seeking a versatile Executive Assistant to support our leadership team, be our Sydney office manager , and contribute to our marketing efforts. You will be responsible for providing high-level administrative support, managing schedules, coordinating meetings and travel arrangements, and handling various office administration tasks to help SMC achieve its goals.

What will you do?

  • Manage the CEO's communications, prioritizing emails and handling inquiries professionally.
  • Coordinate complex schedules, meetings, and travel arrangements for the CEO and the team.
  • Manage and maintain the CEO's calendar, ensuring effective time management and scheduling of commitments
  • Manage the Sydney office, including reception duties, maintaining office supplies, and ensuring a professional work environment. Organize and facilitate on-site meetings, including visitor management and logistics.
  • Prepare professional documents, presentations, and reports using Canva and Google Workspace. Contribute to the creation of marketing materials using Canva and other design tools.
  • Handle administrative tasks including document management, expense tracking, and new employee onboarding.
  • Assist in planning and executing corporate events, trade shows, and product launches. Coordinate with vendors and manage event logistics to ensure smooth operations.
  • Support merchandising strategies, including inventory management of promotional items.
  • Conduct research and provide analytical support for various initiatives.
  • Maintain strict confidentiality with sensitive information.
  • Assist with special projects and ad-hoc assignments as needed

Who are you?

The ideal candidate will possess:
  • Minimum 5 years of experience as an Executive Assistant or in a similar role

  • Bachelor's degree in Business Administration, or a related field

  • Experience in office management and reception duties

  • Knowledge of travel booking and logistics management

  • Experience in event planning and basic marketing principles

  • Proven track record of providing high-level administrative support

  • Exceptional time management, organizational, and multitasking abilities

  • Strong attention to detail and commitment to confidentiality

  • Advanced proficiency in MS Office, Google Workspace, and Canva

  • Excellent written and verbal communication skills

  • Ability to work independently and collaboratively in a dynamic environment

  • Strong problem-solving and critical thinking skills

  • Interest in the space industry and willingness to learn
