About This Position

The Executive Assistant provides high-level administrative support to the Chief Executive Officer, Board of Directors, and other assigned leadership staff.

Duties include the following but are not an exhaustive list:
  • Performs clerical and administrative tasks for CEO, senior staff and board of directors.
  • Arranges travel accommodations for the leadership team and Board of Directors
  • Schedules and attends meetings on behalf of CEO; takes notes and records minutes
  • Reviews incoming communication/memos on behalf of CEO, determines importance, and distributes content
  • Acts as Board of Directors secretary
  • Sends notice of Board and Foundation meetings, assembles packets and attends meetings; takes notes/minutes
  • Processes all continuing education vouchers as approved by CEO
  • Collaborates with hospital insurance company and attorneys
  • Approves time off and payroll for the executive team
  • Prepares physician call schedules
  • Maintains utmost confidentiality, handles highly sensitive information
  • Has working knowledge of and assists with Missouri Sunshine Law compliance
  • Completes hospital licensure survey
  • Fulfills filing notice requirements
  • Manages provider and Board relationships
  • Maintains boardroom and administrative conference room schedules
  • Maintains/updates hospital phone list
Requirements:
Associate's degree
Five to ten years' experience in related field
MO notary certification
