Job Description

The Fine Collections Clerk is responsible for processing, tracking, and collecting court-ordered fines and fees on behalf of the county. This position ensures accurate financial recordkeeping, provides direct assistance to the public, and supports the court system by maintaining compliance with state and local regulations.
  • Process payments for fines, fees, and court costs through cash, check, money order, or electronic payment systems.
  • Maintain accurate financial records, including daily cash drawers, receipts, deposits, and reconciliation reports.
  • Set up and monitor payment plans, ensuring compliance with court orders and county policies.
  • Contact defendants regarding overdue payments, missed deadlines, or delinquent accounts; issue reminders or notices as required.
  • Prepare and submit reports to courts, probation departments, and county leadership regarding collections activity and outstanding balances.
  • Assist the public in person, by phone, and via email with questions about balances, payment options, and court requirements.
  • Coordinate with courts and probation to verify case information, update records, and ensure accurate processing.
  • Enter and update data in case management and financial software systems with a high level of accuracy.
  • Ensure confidentiality of sensitive financial and legal information in accordance with state and federal laws.
  • Perform other duties as apparent and/or assigned.

  • High school diploma or GED required; coursework in accounting, business, or criminal justice preferred.
  • Experience in cash handling, collections, clerical work, court administration and/or related experience preferred.
  • Requires strong understanding of basic accounting and financial reconciliation.
  • Must have excellent customer service and communication skills.
  • Must be able to maintain composure during situations of conflict.
  • Ability to pass a background check and meet county employment requirements.

Physical Requirements
  • Ability to lift up to 20 pounds (e.g., files, boxes of documents).
  • Ability to operate office equipment such as computers, printers, scanners, and payment terminals.
Working Conditions
  • Standard office environment within a county courthouse or administrative building.
  • Frequent interaction with the public, including individuals under financial or legal stress.
  • May require sitting for extended periods and handling cash or documents throughout the day.
