Position Overview
Yale Mechanical is seeking a motivated, customer-focused Inside HVAC Service Sales Representative to join our growing team in Minneapolis. This is an onsite, in-office role that supports commercial HVAC service sales through customer communication, quoting, follow-up, and coordination with internal teams.
In this role, you will respond to inbound service opportunities, prepare quotes and proposals for repairs, service, and upgrades, follow up on open opportunities, and help convert customer needs into completed work and long-term relationships. You will work closely with technicians, service managers, outside sales representatives, vendors, and customers to ensure a high level of service and support throughout the process.
This role is ideal for someone who is organized, responsive, technically curious, and comfortable balancing customer interaction, sales support, and internal coordination in a fast-paced environment.
Key responsibilities include:
- Respond promptly and professionally to inbound calls, emails, and other customer inquiries related to HVAC service, repairs, maintenance, and equipment needs
- Prepare accurate quotes, estimates, and proposals for commercial and industrial service customers
- Follow up on open quotes, proposals, and service opportunities to support conversion and revenue growth
- Build and maintain strong relationships with customers through responsiveness, follow-up, and value-added support
- Identify opportunities to upsell or cross-sell repairs, upgrades, maintenance agreements, and energy optimization solutions
- Collaborate closely with field technicians, service managers, outside sales representatives, and internal team members to support smooth execution from quote through completion
- Maintain accurate customer information, pricing, equipment details, and job records in CRM, quoting, and related systems
- Work with vendors and supplier partners to support pricing, availability, and solution development
- Support service sales tracking, reporting, and administrative coordination as needed
- Represent Yale Mechanical with professionalism, integrity, urgency, and strong customer care in every interaction
- Meet or exceed individual and team goals related to service repairs, quoting activity, and add-on opportunities
Qualifications
- 2+ years of experience in inside sales, customer service, sales support, account coordination, or a related role
- Experience in HVAC, plumbing, mechanical services, construction, building systems, or a related industry strongly preferred
- Solid understanding of HVAC systems, service terminology, and basic equipment applications preferred
- Strong verbal and written communication skills, with a professional and confident phone presence
- Strong organizational skills and the ability to manage multiple priorities with accuracy and follow-through
- Proficiency in Microsoft Office, including Outlook, Excel, and Word
- Experience with CRM, quoting, or service management software preferred
- Self-motivated, dependable, and team-oriented, with a strong customer service mindset
- High school diploma or equivalent required; technical training or HVAC-related education is a plus
- Must pass a criminal history background check
Physical & Mental Demands
This role requires regular mobility. While performing the duties of the job, you may need the:
- Ability to remain seated for extended periods while working at a desk and computer
- Frequent use of hands and fingers for typing, phone use, and other office tasks
- Ability to communicate clearly in person and by phone
- Occasional standing, walking, bending, and reaching in an office environment
- May occasionally need to lift or move office materials weighing up to 15 pounds
- Ability to work in a standard office setting with regular interaction across teams

Salary & Benefits
This is a salaried, exempt role, paying at an annual gross range between $55K - $80K, depending on experience, plus eligibility for a discretionary performance-based incentive.
