Summary/Objective: The Operations Specialist is a cross-functional execution role responsible for carrying out internal and customer-facing communications, marketing activities, and operational readiness support. Working directly under the strategic direction of senior leadership, this role ensures the right information reaches the right audiences — at the right time — through organized, consistent, and well-executed communication and workflows. This is an execution and coordination role for someone who is highly organized, detail-oriented, and thrives in a structured, mission-critical environment.
Essential Duties and Responsibilities:
Communications Execution
- Execute structured communication plans and frameworks as directed, ensuring customers and internal teams are informed and prepared during high-impact, time-sensitive events (e.g., elections, product launches, system updates)
- Draft and distribute proactive customer-facing communications including readiness notices, alerts, FAQs, and operational guidance
- Maintain communication calendars and ensure messaging is sequenced, timely, and aligned to key operational milestones
- Coordinate with Product, Operations, Customer Support, and Account Management to ensure consistent, accurate messaging across teams
Marketing Execution & Support
- Coordinate and execute email campaigns, initiatives, and communications in support of sales and company objectives
- Coordinate the creation, updating, and distribution of presentations, one-pagers, proposals, and customer-facing materials
- Track marketing activities, timelines, and deliverables to ensure deadlines are met
- Assist with trade shows, webinars, events, and other customer-facing efforts, including logistics and follow-up coordination
Content & Asset Management
- Maintain organized repositories of communication and marketing assets (templates, guides, presentations, FAQs)
- Ensure materials are version-controlled, current, and easily accessible to cross-functional teams
- Identify and flag outdated or inconsistent content for updates
Tracking & Coordination
- Monitor communication deliverables across multiple workstreams and proactively surface risks or delays
- Maintain project trackers, schedules, and status logs to keep work on track
- Serve as a coordination point between Operations, Sales, and Account Management on communication-related activities
Success in This Role Looks Like
- Customer-facing and internal communications are delivered accurately, on time, and without gaps during high-stakes operational periods
- Marketing materials and sales support content are current, accessible, and consistently maintained
- Cross-functional teams have what they need to communicate clearly and confidently with customers
- Repeat communication failures and avoidable operational issues are reduced cycle-over-cycle
Education: Bachelor's degree or 2–4 years of directly related experience required
Experience:
- Background in communications, marketing coordination, or operations support
- Experience in complex, regulated, or high-stakes environments preferred (elections, government, SaaS, or similar)
- Preferred tools: SharePoint or Digital Asset Management platforms; project management software (Asana, Monday.com, or similar)
Skills: Strong written communication, organizational discipline, attention to detail, and ability to manage multiple priorities under deadline pressure

- This is not an approval layer — it is an execution and coordination function

Travel: Approximately less than 5% travel is expected.
