About This Position
The Payroll Specialist is an administrative position and serves as an essential function of business operations for Essential Services LLC. The Payroll Specialist is integral in maintaining accurate records for utilization of client hours and mileage, maintaining accurate DSP records for hours worked and mileage to be reimbursed, and maintaining DSP schedules as needed. This includes but is not limited to direct communication with DSPs to verify hours worked and mileage to be reimbursed, enforcing compliance with client-allotted hours, and overtime for DSPs. The Payroll Specialist reports directly to the Payroll Manager.
Duties and Responsibilities:
Data entry to include: Excel spreadsheets, Word documents, and internal applications.
Verify and adjust DSP hours, mileage, and schedules as necessary.
Upload client hours and miles into the State of Oregon site.
Assist DSPs with updating personal records such as phone numbers, addresses, and emergency contacts.
Prepare and send client Care Summaries.
Answer and respond to phone calls, texts, and emails.
Ensure that DSP hours and mileage are entered accurately.
Ensure that DSPs are within their allotted hours for overtime.
Ensure that client hours and mileage are used within the allotment.
Encourage a cohesive team interaction.
Verify all clock-in and out GPS coordinates to approved locations.
Participate in the rotation of the Emergency After-Hours Phone.
Perform additional tasks as assigned by the Payroll Manager and Payroll Supervisor.
Minimum Qualifications:
Being at least 21 years of age.
Successfully completing a DHS criminal history check.
Being legally eligible to work in the United States.
Not being the spouse of any Client that the employee works directly with.
Have no substantiated abuse or neglect findings against them by DHS, CDDP, or other appropriate authorities.
Not being on the current Centers for Medicare and Medicaid Services list of excluded or debarred providers.
Hold a valid driver’s license and appropriate levels of auto insurance if driving is part of the job duty.
Skills and Abilities:
Ability to communicate with clients, clients’ families, those around them in the community, and Essential Services LLC employees.
Understanding of computers and software programs such as Microsoft Word, Microsoft Teams, Microsoft Excel, Adobe Fill and Sign, Adobe PDF Programs, Internet Explorer, Windows, smartphone-based applications, and email correspondence.
Ability to follow instructions, work independently and as a member of a team, exercise good judgment, and prioritize daily tasks.
Have strong written, oral communication, and interpersonal skills.
Responsibility, maturity, and reputable character, exercising sound judgment with high ethical standards.
Excellent time management, organizational, coordination, leadership, and management skills.
Ability to effectively problem-solve.
Ability to maintain confidentiality.

Essential Services LLC employees shall provide the following minimum training:
Mandatory abuse reporter status and procedures for reporting abuse and neglect.
Client confidentiality.
CPR and First Aid.
Emergency procedures.
Sexual Harassment in the Workplace.
