Description:

Elmhurst Ford is seeking a detail-oriented and organized Dealership Administrative Assistant to support the daily operations of our dealership. This position provides administrative and clerical support to the Accounting, Sales, Service, and Management teams. The ideal candidate will be dependable, professional, and capable of managing multiple responsibilities in a fast-paced automotive environment.

Requirements: Essential Duties and Responsibilities
  • Scan, organize, and maintain electronic and paper files.
  • Assist with assembling, reviewing, and processing vehicle deal bags and dealership paperwork.
  • Provide administrative support to the accounting department, including filing, data entry, and document organization.
  • Receive and process incoming payments and maintain accurate records.
  • Assist with preparing and reconciling daily bank deposits.
  • Manage office supply inventory and coordinate supply orders as needed.
  • Prepare, print, and mail accounts receivable statements and other customer correspondence.
  • Sort and distribute incoming mail and prepare outgoing mail and packages.
  • Assist with maintaining accurate dealership records and document retention procedures.
  • Support dealership departments with administrative tasks and special projects as assigned.
  • Maintain confidentiality of customer, employee, and company information.
  • Ensure office areas, files, and records remain organized and professional.
  • Perform general clerical duties including copying, scanning, filing, and document preparation.
  • Assist management with additional projects and duties as business needs require.
Qualifications
  • High school diploma or equivalent required.
  • Previous administrative, accounting, or office support experience preferred.
  • Automotive dealership experience is a plus.
  • Strong organizational and multitasking abilities.
  • Excellent attention to detail and accuracy.
  • Proficiency in Microsoft Office, including Outlook, Word, and Excel.
  • Ability to work independently and as part of a team.
  • Strong communication and customer service skills.
  • Professional demeanor and positive attitude.
Physical Requirements
  • Ability to sit, stand, walk, bend, and lift up to 25 pounds occasionally.
  • Ability to operate standard office equipment, including computers, scanners, printers, and copiers.
