Job Description
The Medical Assistant/Intake Clerk will perform a combination of administrative and clinical tasks within a healthcare setting. These professionals commonly work alongside other medical staff under the supervision of a physician. Additionally, their role can be an essential part of a healthcare team, as their responsibilities help keep the facilities they work in organized and operating efficiently. The Medical Assistant/Intake Specialist will facilitate activities and admissions for the Safe Haven Unit, obtain demographics and insurance information on all clients, create a weekly manifest, and ensure compliance with the Department of Corrections (DOC) requirements.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Essential functions include but are not limited to the following:
Responsible for intake processes and paperwork to ensure compliance with Recovery Kentucky guidelines
Responsible for reviewing client medical history to determine program eligibility and
Coordinating medical services with community referrals.
Oversee referrals/appointments to outside providers according to procedure and protocols, and ensure regular inoculations and trainings for CPR and First Aid are met as regulations required following policy and procedures set by Health Services
Responsible for Department of Corrections data, and for entering data into Kentucky Offender Management System (KOMS)
Ensure DOC compliance, including assist with DOC inspection in information, update list of DOC referrals, attend DOC meetings, communicate with probation and parole officers, update photos of DOC residents in KOMS annually
Responsible for client obtaining demographic and insurance information, and for ensuring information is complete and accurate in registration systems, and communicates such information to all parties involved
Responsible for taking calls (only in an emergency) after hours when medical incidents arise
Review DOC Post or Pre-Sentencing Investigation forms for program compatibility
Assist in pre-screening for potential clients and referrals
Create weekly manifest and schedule drug testing
Complete required documentation and reporting
Help in monitoring the back desk from 8-4 and ensure that clients are given medical education regularly through classes
Attend a minimum of 20 hours of staff training annually
Ensure proper data collection, documentation and reporting
Complete and report all Program discharge summaries and ensure the necessary parties receive a copy
Other tasks as assigned
QUALIFICATIONS / REQUIREMENTS
Minimum Medical Assistant or CMA certification (LPN preferred)
Minimum one year of customer service experience preferred
Certified in DOC Portal curriculum or ability to become certified within 3 months
Computer and clerical skills, with proficiency in Microsoft Excel or ability to become proficient
Experience working with a treatment facility in the detox, residential, partial and/or intensive outpatient (IOP) preferred
A valid Driver’s License
Excellent verbal and written communication skills and strong attention to detail
