Shipping & Receiving Manager
Location: Lancaster County, Pennsylvania
Department: Operations / Fulfillment
Reports To: Ownership / Operations Management
Position Summary
DutchWare Gear is seeking a dependable, organized, and hands-on Shipping & Receiving Manager to oversee the daily movement of products, materials, and inventory into and out of our facility.
This position is responsible for ensuring customer and wholesale orders are shipped accurately and on time, incoming materials are properly received and recorded, and the shipping and receiving areas remain organized and efficient.
This is a working-manager position. The right person will not only manage the process but will actively participate in picking, packing, receiving, organizing inventory, and solving day-to-day fulfillment issues.
Key Responsibilities
Shipping & Fulfillment
- Manage daily shipping operations for retail, wholesale, manufacturing, and other outgoing orders.
- Ensure orders are picked, packed, labeled, and shipped accurately and on time.
- Prioritize orders based on shipping commitments, customer requirements, and production schedules.
- Verify products, quantities, addresses, and shipping methods before orders leave the facility.
- Coordinate shipments through USPS, UPS, FedEx, freight carriers, and other transportation providers.
- Handle larger wholesale, palletized, and special shipments when required.
- Monitor open orders and identify anything preventing an order from shipping.
- Work closely with Customer Service, Production, Sales, and Management to resolve fulfillment issues.
- Maintain appropriate packaging supplies and communicate purchasing needs before materials run out.
Receiving & Inventory
- Receive incoming raw materials, finished goods, hardware, packaging, and other supplies.
- Verify incoming shipments against purchase orders, packing slips, and expected quantities.
- Inspect incoming shipments for visible damage, shortages, incorrect products, or other discrepancies.
- Ensure received inventory is properly counted, labeled, recorded, and placed in the correct storage location.
- Communicate receiving discrepancies to Procurement and Management quickly.
- Maintain organized receiving, staging, and inventory areas.
- Assist with cycle counts and physical inventory counts.
- Help identify inventory discrepancies and determine their cause.
- Maintain clear separation between received goods, items awaiting inspection, production materials, and finished inventory.
Team Leadership
- Provide daily direction and priorities to employees working within shipping, receiving, and fulfillment.
- Assign work based on order volume and operational priorities.
- Train employees on proper picking, packing, receiving, inventory handling, and shipping procedures.
- Monitor employee productivity, accuracy, attendance, and overall performance.
- Hold the team accountable for meeting established expectations.
- Identify workflow problems and recommend improvements.
- Cross-train team members so shipping and receiving operations can continue effectively during absences or periods of increased demand.
Accuracy & Quality Control
Accuracy is one of the most important responsibilities of this position.
The Shipping & Receiving Manager is expected to establish and maintain processes that reduce:
- Incorrect products being shipped
- Incorrect quantities
- Missing items
- Shipping to incorrect addresses
- Inventory being placed in incorrect locations
- Receiving discrepancies
- Packaging errors
- Preventable shipping damage
Recurring errors should be investigated to determine the root cause and corrected through improved processes, training, or accountability.
Operational Expectations
The Shipping & Receiving Manager should maintain a clear daily understanding of:
What needs to ship today.
What orders are behind and why.
What inventory or materials arrived today.
What receiving discrepancies need attention.
What inventory shortages may impact production or fulfillment.
What the team needs to accomplish before the end of the day.
Problems should be communicated proactively rather than discovered after an order, shipment, or production deadline has been missed.
Performance Measures
Performance in this position may be measured using:
- Order accuracy
- On-time shipping percentage
- Order turnaround time
- Receiving accuracy
- Inventory accuracy
- Number of shipping errors or customer reships
- Organization and cleanliness of shipping/receiving areas
- Proper documentation of incoming and outgoing goods
- Team productivity
- Ability to identify and resolve operational bottlenecks
Qualifications
- 1-2 years experience in warehouse management role or similar field, preferred
- Strong organizational and time-management skills.
- Ability to work collaboratively across all departments.
- High attention to detail.
- Comfortable working with computers, shipping software, inventory systems, and spreadsheets.
- Ability to prioritize multiple orders and deadlines.
- Strong communication and problem-solving skills.
- Comfortable working in a hands-on manufacturing and fulfillment environment.
- Ability to lift and move boxes, materials, and inventory as required.
- Experience with UPS, FedEx, USPS, freight, or similar shipping systems is a plus.
