ROLE RESPONSIBILITIES – what you’ll own and lead as a Staffing Manager
Own the Schedule. Deliver Excellence.
- Create and manage daily and long-term caregiver schedules to ensure 100% shift coverage and at least 98% fulfillment of authorized client hours
- Strategically match Caregivers to clients based on skills, availability, location, and compatibility
- Eliminate open hours and proactively solve scheduling gaps in real time
- Coordinate schedules across new client admissions, discharges, and staffing changes
Actively Lead & Develop Caregivers
- Manage caregiver performance through coaching, feedback, and accountability
- Partner with HR to conduct performance reviews, improvement plans, and investigations
- Drive engagement and retention through consistent outreach and relationship building
- Ensure all caregivers are trained, compliant, and fully qualified before assignment
Optimize Operations & Utilization
- Maximize use of authorized hours while minimizing overtime
- Analyze reports to improve efficiency, utilization, and satisfaction
- Pre-schedule new hires to ensure immediate productivity from day one
- Maintain accurate data across HRIS and healthcare management systems
Deliver Exceptional Service
- Serve as a key point of contact for Clients and Caregivers, providing prompt, professional support
- Troubleshoot scheduling issues, call-offs, and timekeeping discrepancies
- Ensure accurate EVV tracking, clock-ins/outs, and documentation
- Maintain a high standard of responsiveness via phone, email, and in person

- Demonstrate sense of warmth, welcome, and professionalism and excellent customer service
- Demonstrate strong commitment to compliance
- Knowledge of best practices for handling PHI in compliance with HIPAA regulations
- Administrative specialty in related field – whether accounting, customer service, scheduling, billing, IT, project management, leadership, sales, marketing, business development, medical scheduling, staffing, care coordinator or coordination, recruiting, talent acquisition, compliance, office manager or management, business manager or management, human resources, or operations a bonus
- Experience in assisted living, facility, nursing home, or in home care a bonus
What You Bring
- Experience in staffing, scheduling, or workforce coordination (healthcare/home care preferred)
- Strong ability to multi-task, prioritize, and problem-solve under pressure
- Proven experience in performance management and team development
- High attention to detail with strong organizational and systems skills
