Job Description

SUMMARY:

The Clinic Lead will oversee the day-to-day activities for the respective clinic(s) they are responsible for. They will serve as the immediate staff member in charge of the department’s clinic operations. They will collaborate with the Director of Clinics/Clinic Manager with general functions related to departmental improvement with emphasis on promoting an environment of trust, engagement and support amongst the staff and medical providers. Daily duties include responsibility for monitoring the input of daily patient flow, effective intake procedures, daily staffing, and assisting the Clinic Manager with other responsibilities as assigned.

ESSENTIAL FUNCTIONS:

  1. The Clinic Lead assumes responsibility for department and its operations as per the direction of the Clinic Manager. This includes handling of staff and provider-related issues, communicating such issues and/or resolution(s) to the Clinic Manager in a timely manner.
  2. Actively participates with the Clinic Manager in driving departmental initiatives for operational improvement and staff training.
  3. Actively participates with the Clinic Manager in efforts to ensure effective utilization of the organization’s electronic medical record (EMR) system. This includes evaluating and maximizing functionality, expanding reporting capabilities, compliance with utilization guidelines and opportunities to increase efficiency.
  1. Works closely with physicians to coordinate patient's care plan communication; work with multidisciplinary team to maintain and implement up-to-date coordinated care plan; communicate with all members of the healthcare team on behalf of the patient.
  2. Attend meetings and perform various duties as needed to successfully fulfill the function of the position.
  1. Aids the Clinic Management in organizing and establishing proper coverage schedules to ensure adequate staff and support for Health Center operating hours and cost containment.
  2. Supports the secure management of patient’s Protected Health Information (PHI), including the successful integration of patient data into the Electronic Medical Record, in a manner consistent with HIPAA and other applicable regulations.
  3. Have the skills and abilities to support other clinic team members within their scope of practice including but not limited to performing patient triage, taking vital signs, performing health screenings, medication administration, set up and assist with procedures, maintaining required logs and checks, and stocking rooms.
  4. Accurately documents data collected into the department’s Electronic Medical Record (EMR) system. Effectively utilizes EMR in support of the visit for orders provided by the Physician, PA, NP, or CNM including but not limited to routine department functions (e.g. ordering diagnostic testing, calling in prescription refills to pharmacy, specialty referrals, transmitting prescriptions, documenting telephone encounters, scanning results and key documents and scheduling appointments). Ensures related reports, results and any other pertinent information are available in patients’ chart prior to their scheduled appointment.
  5. Ensures Health Center exam rooms are adequately stocked with appropriate supplies and equipment in the applicable quantity. Performs inventory checks and places appropriate orders to replenish stock.
  6. Strong organizational, communication, interpersonal and customer service skills. Capable of building and maintaining positive working relationships with patients, co-workers, physicians, NP/PA, and other PMHD representatives.
  7. Maintains ethics and safeguards integrity of medical records, patient’s rights, Health Insurance Portability & Accountability Act (HIPAA). Protects department/practice by adhering to professional and regulatory standards as well as PMHD policies & procedures.
  8. Maintains an understanding and ability to support the clinic registration process including but not limited to collecting information from patients, explaining clinic policies regarding registrations, scheduling of appointments, performing follow-up/reminder calls, general clerical functions.
  9. Supports clinic management during clinic site visits from state agencies and/or health plans. Ensures Health Center is up to date with all requirements required states agencies and/or health plans.

OTHER RESPONSIBILITIES:

  • Assists Clinic Director / Manager with scheduling of Providers/staff to ensure adequate coverage of shifts in the event of LOA’s, Vacations, or unexpected absences.
  • Assists the front & back-office staff as needed.
  • Utilizes the Hospital HIS system to its full capacity.
  • Facilitates training of personnel in relation to clinic workflows
  • Ability to resolve customer complaints and concerns.
  • Ability to communicate effectively, both orally and in writing
  • Ability to resolve difficult or stressful customer service issues.
  • Ability to perform complex tasks and to prioritize multiple projects.
  • Principles and practices of work safety especially related to communicable diseases, including Universal Precautions, OSHA and CLIA.
  • English usage, spelling, grammar, and punctuation; basic mathematical calculations.
  • Prioritize activities relative to assigned duties and effectively communicate with their lead and/or director.
  • Determined on needs of the clinic operations may be asked to rotate to other clinics/outpatient departments.
  • Other duties as assigned.

EDUCATION, KNOWLEDGE, SKILLS, ABILITIES, AND EXPERIENCE:

  1. High school education or equivalent.
  2. Certified Medical Assistant or Active Licensed Nurse
  3. At least three years of experience in an outpatient clinic setting
  4. Knowledge of Medical Terminology
  5. Experience in a customer service setting
  6. Strong verbal and written communication skills.
  7. High level of integrity
  8. Proficient PC skills
  9. Fluency in Spanish preferred.
  10. E-Clinical Works Experience

LICENSES AND CERTIFICATIONS:

Basic Life Support

Certified Medical Assistant OR Active Nursing License
