ABOUT THE ROLE

The Finance & Accounting Manager at Gemini Legal plays a key leadership role in overseeing core financial operations, developing and maintaining processes that support accuracy, compliance, and efficiency across the Finance department. This position is responsible for managing month-end close, balance sheet reconciliations and control, financial reporting, compliance with generally accepted accounting principles, cash management, tax compliance and cross-functional coordination with internal and external stakeholders, including auditors and banks. The Finance & Accounting Manager also leads financial technology system improvements, and process streamlining in partnership with the VP of Finance. In addition to guiding team performance and development, the Finance & Accounting Manager ensures high standards of accuracy, integrity, and strategic insight in all financial activities. As a member of the Finance department, the Finance & Accounting Manager is a strategic, detail-oriented, and collaborative leader who promotes excellence in financial operations and team development.

  • Location: Hybrid-Remote / Rocklin, CA HQ
  • Schedule: Monday-Friday, 8:00am-5:00pm
  • Compensation: $120,000 - $149,000 Annually

The pay range for this role is $120,000–$149,000 Annually. Starting pay for new hires is typically within the lower third of the range: $120,000-$129,667 Annually. Exceptions may be made based on factors such as education, specialized skills, or significant relevant experience.

WHAT YOU BRING

  • Develop and maintain processes to support team functions and financial controls, improving workflow efficiency
  • Prioritize tasks and projects for the team, ensuring quality work and completion of daily assignments
  • Oversee finance and accounting operations including accounting, reporting, cash application, bank and credit card management, financial reporting, supplies, equipment, GIVE program, and other administrative responsibilities
  • Lead month-end and period-end accounting close processes, ensuring timely reconciliations and resolution of discrepancies
  • Balance sheet, cash, and working capital management for Gemini Legal Support, Inc. and Gemini Freehold LLC
  • Responsible for establishing, monitoring, and achieving key performance indicators (KPIs) that support revenue growth and diversification, effective expense management, and operational excellence.
  • Maintain and optimize accounting systems, including QuickBooks, Orange Screen integration for revenue recognition and accounts receivable reporting, Bill.com, Tri-Star, Stripe and Paylocity, ensuring data integrity and process efficiency
  • Serve as primary liaison for all banking activities, including administration and security, wires, loan documentation, line-of-credit management and reconciliations
  • CPA Auditor engagement and associated finance and accounting process remediations
  • Manage insurance and benefit audits by ensuring accurate and timely submission of required documentation
  • Leads the cash application team to ensure timely and accurate cash application within Orange Screen while maintaining strong financial controls. Identifies, evaluates, and implements process improvements and technology solutions, including lockbox services, to enhance efficiency and accuracy.
  • Drive revenue optimization initiatives through process improvements, performance analysis, and cross-functional collaboration.
  • Support management and remediation of historical unallocated cash payments (cash receipts which have not been allocated to an outstanding Orange Screen invoice)
  • Ensure timely submission and accuracy of personal property tax statements across multiple jurisdictions
  • Provide training, mentorship, and support to team members on financial systems and processes, team goals, and professional development
  • Develop and maintain financial controls, procedures, and documentation to improve efficiency and accuracy in collaboration with VP of Finance
  • Prepare, support and participate in monthly financial reviews with CEO and President, including KPIs, financial metrics, forecasts, ensuring actionable reporting and insights
  • Plan and implement improvements to processes, methodologies, and tools utilizing root cause analysis
  • Lead/support the discovery and adoption of artificial intelligence within Finance
  • Lead/support finance, accounting and KPIs for Gemini Legal’s artificial intelligence adoption
  • Promote Gemini Legal’s core values, high ethical standards, and a culture of problem-solving
  • Ensure adherence to all company policies, procedures, and professionalism standards
  • Stay current with industry knowledge through workshops, publications, and networking
  • Lead by example, fostering professional growth and accountability within the team
  • Other duties as assigned
Requirements:

FUNCTIONAL REQUIREMENTS

  • Education and/or experience:
    • Bachelor’s Degree in Accounting, Business Administration, or a related field preferred
    • 5+ years of progressive experience in a finance or accounting role required
    • 2+ years of experience leading a team required
    • CPA license preferred
  • Skills:
    • Thorough knowledge of GAAP, revenue recognition, and procedures
    • Balance sheet and cash management
    • Leadership and mentoring of talent
    • Exposure to external auditors and banking partners
    • Ideally experience with high volume revenue streams
    • Ability to work closely within a management team and external providers
    • Advanced time management and organizational skills
    • Strong verbal and written communication skills

    • Ability to handle a high volume of work and function in a fast-paced environment, on deadline
    • Strong self-management aptitude with the ability to conduct independent work and team collaboration

  • Technology:
    • Highly proficient in using the following software applications: QuickBooks, Excel, Google Workspace (Docs, Sheets, Calendar, Gmail, etc.) and Adobe Acrobat to complete assigned work
    • Experience creating financial statements, reports and analyzing data, including the use of of spreadsheets and pivot tables
    • Experience with ERP integration to financial and accounting systems
    • Understanding of AI and possible business adoption and leverage
  • Other:
    • Experience working in an office setting
    • Exceptional teamwork and leadership skills
    • Familiarity with Lean business principles, flowchart processes, and value stream mapping and understanding a plus

Must be able to perform the essential functions of the position with or without accommodation, including, but not limited to:
