Job Description

Executive Assistant - Marketing and Communications Support

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an Executive Assistant – Marketing and Communications Support based in Brazil.

We are seeking a proactive, detail-oriented professional with a strong background in marketing, communications, or public relations to support a US-based founder in a fully remote environment. This hybrid role combines executive assistance with marketing and communications support, offering an opportunity to contribute to the founder’s professional brand and business growth. You will manage LinkedIn content and outreach, assist with media relations, and help coordinate communications initiatives. As you build trust and familiarity with the founder’s priorities, you will gradually take ownership of calendar management, weekly planning, and executive organization. The ideal candidate enjoys writing, thrives in a fast-paced environment, and excels at anticipating needs and managing competing priorities. This is an excellent opportunity for an organized, resourceful professional who wants to grow into a strategic partner and become an essential extension of an executive’s daily operations.

Accountabilities:
  • Manage LinkedIn content and outreach: Develop an understanding of the founder’s voice and communication style, draft and schedule engaging posts, interact with relevant content, manage messages, and coordinate prospect follow-ups.
  • Support media relations and public relations: Assist with drafting media pitches, press materials, and other communications assets, track outreach activities, and maintain consistent follow-ups with journalists and media contacts.
  • Coordinate executive scheduling and priorities: Maintain the founder’s calendar and weekly planning system, organize time blocks, monitor deadlines, and ensure key priorities remain on track.
  • Support freelance recruitment: Publish job opportunities, review applications, screen candidates, coordinate interviews, and facilitate the recruitment process for freelance contractors.
  • Manage administrative and communication workflows: Monitor and prioritize inbox communications, prepare meeting briefs, document discussions, organize notes, and track action items and follow-ups to ensure smooth day-to-day operations.
Requirements:
  • Relevant educational or professional background: Experience or qualifications in marketing, communications, public relations, or advertising. A degree in marketing or a related discipline is a strong advantage.
  • Executive or administrative support experience: At least three years of experience as an Executive Assistant, Virtual Assistant, or in a comparable support role, ideally working with senior leaders or founders.
  • Advanced English proficiency: Excellent written and spoken English at C1 level or above, with the ability to communicate professionally and confidently.
  • Strong writing and communication skills: Proven ability to produce clear, engaging content and adapt messaging to reflect another person's voice, tone, and professional brand.
  • Organizational and prioritization skills: Demonstrated experience managing calendars, inboxes, deadlines, and competing priorities while maintaining accuracy and attention to detail.
  • Social media and content management: Experience managing LinkedIn or other social media platforms for a founder, executive, or brand is a plus.
  • Public relations expertise: Familiarity with media outreach, journalist pitching, press releases, or other PR activities is an advantage.
  • Recruitment coordination: Experience sourcing, screening, or coordinating freelance contractors and managing interview schedules is desirable.
  • Digital tools proficiency: Familiarity with Google Workspace, LinkedIn scheduling tools, Canva, and CRM platforms such as HubSpot is beneficial.
  • Personal attributes: A proactive, resourceful, and dependable approach, combined with sound judgment, discretion, adaptability, and the ability to anticipate needs in a dynamic remote working environment.
Benefits:
  • Competitive compensation: USD-denominated compensation ranging from $800 to $1,600, depending on experience.
  • Performance-related rewards: Year-end bonus and other applicable bonuses.
  • Health support: Health insurance allowance.
  • Paid time off: Paid time off (PTO) and holidays.
  • Professional development: Training, guidance, and ongoing support to help you succeed and grow in the role.
  • Remote flexibility: Fully remote work arrangement for candidates based in Latin America.
