Job Description

Essential Duties and Responsibilities

The Data Capture Assistant performs a variety of tasks to support the efficient and accurate flow of projects within the department. Responsibilities include, but are not limited to:

  • Data Deliverables:
    • Prepare and update client deliverables, including:
      • Excel files that track survey returns in project-specific formats
      • Project-specific data files containing raw survey data in Excel and Text Pad
      • Survey images and/or PDFs of project-related mail
    • Deliver data securely using approved transfer and encryption software
  • Mailroom Production Support:
    • Assist with production tasks to ensure smooth and accurate project flow
    • Learn and execute dozens of multi-step, project-specific processes
  • Survey Scanning & Processing:
    • Upload scanned survey images into data capture software, using project codes and routing them to correct scanning templates
    • Scan high volumes of surveys using Fujitsu fi-6800 scanner
    • Prepare surveys for scanning (remove staples, flatten creases, etc.)
    • Scan documents into version-specific templates, following project rules and memorizing survey versions across multiple projects
    • Track scanned documents using clipboards and batch slips
    • Perform quality checks on imported batches and label according to process requirements
    • Organize scanned work by project on designated worktables
    • Keep scanner and scanning station clean
  • Project Setup Assistance:
    • Support the Data Capture Supervisor with survey project setup, including:
      • Create data layouts in client-preferred formats
      • Update scanning templates for survey version changes
      • Test programming to ensure accuracy and efficiency
      • Follow a multi-step project launch checklist (e.g., scanner clipboards, mailroom labels, blank survey scans)
      • Perform data quality checks
  • Database & Tracking:
    • Accurately and efficiently enter data into a variety of internal tracking databases
    • Support Data Capture and Mailroom teams to ensure deadlines are consistently met

Non-Essential Duties

  • Data entry of numeric, alphabetic, and alphanumeric survey responses
  • Other related tasks as assigned by management

Experience Requirements

  • Proven experience meeting project deadlines in a team environment
  • Working knowledge of Microsoft Outlook, Word, and Excel

Physical Requirements

  • Ability to sit and stand for long periods
  • Operate a computer and scanning equipment
  • Lift up to 40 pounds
  • Stand for extended periods during high-volume scanning days
  • Sit for extended periods when performing mailroom tasks
