Loan Car Coordinator
Position Summary
The Loan Car Coordinator is responsible for delivering an exceptional client experience by managing all aspects of the dealership’s loaner vehicle program. This role coordinates vehicle availability, processes loan agreements, maintains accurate records, and ensures all loaner vehicles are clean, safe, and ready for client use. The Loan Car Coordinator works closely with Service Advisors, the Client Care Center, and outside rental vendors to support service operations and build long-term client loyalty.
Essential Duties and Responsibilities
  • Coordinate the assignment and scheduling of loaner vehicles for service clients.
  • Collect and enter client information, driver’s license, and insurance details into the dealership system.
  • Prepare loan agreements and ensure all required documentation is completed accurately.
  • Track the daily status, location, and turnaround time of all loaner vehicles.
  • Communicate loaner vehicle availability to Service Advisors and the Client Care Center.
  • Update client and vehicle records as needed.
  • Contact outside rental vendors such as Enterprise Holdings and AutoRent when additional vehicles are required.
  • Inspect returned vehicles for damage, verify mileage, and close loan agreements.
  • Arrange repairs for damaged or malfunctioning vehicles.
  • Monitor mileage and coordinate routine maintenance according to service schedules.
  • Send driver’s license and insurance information to third-party rental vendors as needed.
  • Ensure all vehicles are clean, fueled, and in proper operating condition before delivery to clients.
  • Resolve client concerns professionally using the dealership’s Client Concern Resolution (CCR) process.
  • Comply with all privacy, information security, and dealership policies.
  • Attend weekly department meetings and participate as an active team member.
  • Perform other duties as assigned.

  • Qualifications
    Education and Experience
  • High school diploma or GED required.
  • One to three months of customer service, rental, hospitality, or automotive experience preferred.
  • Equivalent combinations of education and experience will be considered.

  • Required Skills and Abilities
  • Outstanding customer service and interpersonal skills.
  • Strong organizational skills and attention to detail.
  • Ability to multitask in a fast-paced environment.
  • Basic computer proficiency and data entry skills.
  • Positive attitude and strong teamwork mindset.
  • Ability to communicate clearly and professionally with clients, coworkers, and vendors.

  • Licenses and Certifications
  • Valid driver’s license with a clean driving record.
  • Must be insurable under the company’s insurance policy.

  • Physical Requirements
  • Regularly required to talk and hear.
  • Frequently required to stand, walk, and reach with hands and arms.
  • Occasionally required to use manual dexterity, stoop, kneel, crouch, or crawl.
  • Must be able to lift and/or move up to 10 pounds occasionally.
  • Specific vision abilities include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

  • Work Environment
    This position is based in a dealership environment and involves frequent interaction with clients, service staff, and vehicles both indoors and outdoors.
