About This Position

GENERAL SUMMARY:

Contributes to the overall success of Bryan Health training programs or onsite student clinical experiences by collaborating with the Education & Organizational Development team and key leaders to ensure scheduling, logistics and communication is accurate and effective. Collaborates with external facilitators or faculty to ensure successful Bryan Health programs or clinical opportunities. Coordinates safety training to ensure compliance for employee, contractor or student groups. Builds training reports and dashboards.

PRINCIPAL JOB FUNCTIONS:

1. *Commits to the mission, vision, beliefs and consistently demonstrates our core values.

2. *Coordinates annual Bryan Health calendar of training courses and clinical experiences for students ensuring minimal conflicts, manages training logistics (room set up, catering, technology).

3. *Evaluates regulatory training curriculums, makes recommendations to leadership and subject matter experts, and coordinates with subject matter experts to ensure annual safety and regulatory training is developed and launched in the Learning Management System (LMS).

4. *Collaborates with key stakeholders to monitor and communicate mandatory regulatory training and escalates as appropriate. Builds and monitors training completion reports and dashboards for required training.

5. *Communicates information in a timely manner to Medical Center leadership, faculty and students as appropriate to ensure successful programming and maintains appropriate records.

6. Stays abreast of regulatory training requirements of Occupational Safety and Health Administration (OSHA), Centers for Medicare & Medicaid Services (CMS), The Joint Commission and other regulatory bodies. Provides training records during audits.

7. *Collaborates with Education & Organizational Development team to promote course offerings; ensuring effective communication occurs at all levels.

8. *Coordinates leader and clinical faculty onboarding processes to ensure enrollment in appropriate orientation, ongoing development and online curriculum offerings.

9. Collaborates with subject matter experts to develop materials/handouts and gains approval prior to rollout.

10. Attends planning meetings, provides routine updates and follows up on action items in a timely manner.

11. Maintains Education department SharePoint and Hello to Go content.

12. Provides support to all training sessions including, but not limited to announcements & communication, tracking enrollments, facility arrangements, refreshments, materials & supplies, etc. Coordinates billing as needed.

13. Provides technical support for virtual training on Zoom. Serves in the producer role to manage virtual session breakouts, polls, Q&A, chat, etc.

14. Presents various training programs, within scope of knowledge and experience.

15. Documents training processes to ensure consistency in experience.

16. Serves as back up to LMS team and primary Event Management System (EMS) scheduler.

17. Provides support with clinical contracts and affiliation agreements.

18. Maintains professional growth and development through seminars, workshops, and professional affiliations to keep abreast of latest trends in field of expertise.

19. Participates in meetings, committees and department projects as assigned.

20. Performs other related projects and duties as assigned.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:

1. Knowledge of computer hardware equipment and software applications relevant to work functions.

2. Knowledge of Microsoft programs and software including Word, Excel, PowerPoint, SharePoint and Outlook.

3. Knowledge of educational software and learning management systems.

4. Knowledge of virtual meeting software, preferably Zoom.

5. Skill in verbal and written communication with a strong attention to detail.

6. Skill in organization for efficient management of multiple projects at once.

7. Ability to establish and maintain effective working relationships with all levels of personnel and medical staff.

8. Ability to multi-task, and work in a fast-paced environment resetting priorities regularly as needed.

9. Ability to maintain confidentiality relevant to sensitive information.

10. Ability to build relationships across functional units and company divisions.

11. Ability to maintain regular and punctual attendance.

EDUCATION AND EXPERIENCE:

Bachelor’s degree or equivalent experience required. Minimum of three (3) years’ experience in training coordination and/or administration required. One (1) year of LMS experience or HR systems experience required.
