We are seeking a detail-oriented and customer-focused Loan Administration Assistant to join our Commercial Banking team. In this role, you'll play a key part in supporting Commercial Loan Officers throughout the lending process, from loan preparation and documentation review through closing. Position Summary
The Loan Administration Assistant provides administrative, clerical, and operational support to Commercial Loan Officers and the Commercial Banking team. This role is responsible for supporting complex commercial loan transactions, maintaining loan documentation, coordinating closing activities, and ensuring all lending activities are completed accurately, efficiently, and in accordance with bank policies and regulatory requirements.
Essential Duties & Responsibilities
The duties include but are not limited to the following:
Loan Administration & Documentation
- Partner with lenders to prepare loan requests and supporting documentation.
- Obtain credit bureau reports and other required credit information as needed.
- Collect, review, organize, and maintain loan documentation, including:
- Title commitments
- Settlement statements
- Vehicle titles
- Insurance documentation
- Flood determination
- Other related loan documents
- Coordinate with LaserPro Documentation Support to obtain loan documents.
- Review documentation for completeness, accuracy, and consistency prior to closing.
- Prepare checks and coordinate recording of documents.
- File Notices of Liens and UCC filings.
- Verify loan input and collateral information within applicable banking systems.
- Establish and maintain complete loan and credit files in accordance with bank standards.
- Review uploaded loan documents for completeness and accuracy.
- Ensure ongoing maintenance of loan files and supporting documentation.
Collateral & Loan Monitoring
- Monitor collateral tracking and follow up on exceptions to ensure timely resolution.
- Support collateral perfection activities, including UCCs, titles, insurance verification, releases, and continuations.
- Process construction loan draws and review disbursements against approved budgets.
- Prepare lien releases, deeds of release, mortgages, and related documentation.
- Prepare payoff letters and customer correspondence.
- Complete third-party loan verifications as requested.
Customer Service & Transaction Support
- Serve as a primary support resource for customers, both in person and by telephone.
- Process borrower loan payments.
- Advance loan funds in accordance with approved lender and borrower instructions.
- Verify wire transfer requests and accurately process wire transactions.
- Process payments for third-party invoices, including title companies, appraisal firms, and other vendors.
- Prepare and update Customer Information Files (CIFs) and other supporting reports.
Team Collaboration
- Work closely with lenders, loan operations, credit administration, customers, attorneys, title companies, appraisers, and other third-party partners.
- Assist with special projects and lending initiatives as assigned.
- Support departmental goals through teamwork, flexibility, and a commitment to service excellence.

Technical & Lending Knowledge
- Working knowledge of Commercial & Industrial (C&I) lending, including loan structures, collateral types, covenant monitoring, borrowing base certificates, and tickler management.
- Working knowledge of Commercial Real Estate (CRE) lending, including construction, development, and term lending.
- Ability to review and validate loan documentation, including notes, credit agreements, guarantees, UCC filings, title policies, appraisals, and environmental reports.
- Experience working with loan origination systems and loan servicing platforms.
- General understanding of applicable banking regulations and compliance requirements, including fair lending and BSA/AML considerations.
Administrative & Analytical Skills
- Strong attention to detail and commitment to accuracy.
- Ability to maintain organized records and ensure documentation completeness.
- Strong organizational and time-management skills with the ability to prioritize multiple tasks and deadlines.
- Effective problem-solving and decision-making abilities.
Technology Skills
- Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook.
- Ability to learn and adapt to new banking, imaging, and workflow management systems.

- Demonstrated professionalism and discretion when handling confidential information.
- Ability to build positive working relationships with internal and external stakeholders.

Minimum Education & Experience
- High School diploma or GED is required
- A minimum of five (5) years of relevant experience in lending, loan administration, commercial banking, or a related banking function.
Preferred
- Additional coursework, certifications, or training related to banking, finance, accounting, or business administration.
- Experience supporting Commercial Lending or Commercial Real Estate lending teams.
