Position: Full-time, non-exempt
Salary Range: $25-$29 p/hr

Position Summary
The role involves clerical and administrative support in a fast-paced, highly regulated environment subject to federal and state compliance requirements and periodic audits. We are seeking a detail-oriented individual with strong organizational and time management skills who can effectively manage multiple priorities and maintain accuracy in a dynamic work environment.
This position reports to the Supply Chain Manager
Requirements:The duties listed below represent the essential functions of the position. Duties may be adjusted or reassigned as operational needs require. Regular and reliable attendance is required. - Generate and organize shipping paperwork (bills of lading, sales orders, etc.)
- Prepare, ship, and track samples of bulk products
- Prepare federal, foreign, and freight export documentation
- Serve as the primary point of contact for third-party logistics providers (3PL)
- Utilize and maintain Excel-based tracking and reporting tools for shipping summaries and related logistics reporting
- Provide reports as needed to the sales team and associated vendors
- Maintain and update product master data in Airtable
- Support the onboarding of new distributors
- Retain and file documentation consistently to ensure accurate state and federal audits
- Assist with semi-monthly internal audits
- Track deadlines for licenses and registrations nationally
- Ensure adherence to state reporting standards nationally
- Maintain state product registration and license renewal paperwork nationwide as needed
- Support internal teams with documentation on an as-needed basis
- File annual Hazardous Materials Business Plan (HMBP) with Alameda County and serve as their point of contact for related matters.
- Provide additional clerical, logistics, and administrative support as needed
Minimum Qualifications (Knowledge, Skills, and Abilities)
- Strong attention to detail. Proof read own work to the highest level of accuracy.
- Strong numerical and analytical skills
- Effective time management and organizational skills
- Ability to track and meet deadlines with minimal supervision
- Proficiency in Microsoft Office Suite, Gmail, Asana, and Google Calendar; experience with Airtable or similar platforms strongly preferred
- Self-motivated and goal driven mindset
- Mathematical skills including addition, subtraction, multiplication, and division across all units of measure
Education & Experience
- Bachelor’s degree or equivalent professional experience
- DOT HazMat training preferred; certification required within 60 days of hire
