We are seeking a Client Service Legal Assistant to support our attorneys and clients by providing high-quality administrative and legal support. This role involves conducting client intake interviews, drafting legal documents, managing case files, and ensuring smooth day-to-day operations within the office. The ideal candidate will be organized, detail-oriented, and able to manage multiple priorities while maintaining a high level of professionalism.

Key Responsibilities

• Conduct intake interviews with clients to gather necessary information
• Transcribe and maintain accurate records of client interactions
• Perform data entry and manage client information within document management systems
• Provide clerical support, including filing, scanning, and organizing case materials
• Maintain strict confidentiality and comply with all privacy regulations
• Answer phone calls and respond to client inquiries with professionalism and excellent phone etiquette
• Collaborate with attorneys and legal staff to ensure efficient workflow and case management
• Conduct initial research via county clerk dockets and provide findings to attorneys using Clio Grow and Microsoft Office
• Manage administrative responsibilities, including sending emails, making copies, processing client payments, and organizing file systems
• Manage columns and leads, and utilize workflows within the Clio Grow system
• Monitor and manage incoming emails from the answering service, staff, and attorneys
• Learn and support multiple areas of law for intake purposes
• Gain familiarity with each Florida county’s court docket
• Answer a multi-line phone system and route calls appropriately
• Schedule client and attorney appointments
• Perform other related duties as assigned
Qualifications
• Previous experience in a similar role or legal environment preferred
• Strong organizational skills with the ability to prioritize tasks effectively
• Excellent verbal and written communication skills
• Highly detail-oriented with strong accuracy in data entry and recordkeeping
• Proficient in Microsoft Office Suite or similar software, with the ability to learn new applications quickly
• Familiarity with document management systems and other legal software tools (experience with Clio Grow a plus)
• Understanding of legal drafting techniques and terminology preferred
• Strong time management skills with a proven ability to meet deadlines
• Ability to conduct interviews and gather client information effectively
• Capable of functioning well in a fast-paced and sometimes high-pressure environment
• Knowledge of office administration, clerical procedures, and recordkeeping systems
• Ability to maintain confidentiality and handle sensitive information with discretion
