Job Description
The Payroll Specialist is responsible for coordinating payroll administration and ensuring the accuracy and integrity of payroll data across all Lahal-Managed casino properties. Working closely with ADP’s managed payroll services, this role is responsible for auditing payroll data, validating complex pay rules, maintaining ADP Workforce Now, supporting time and attendance administration, and ensuring compliance with applicable legislation, collective agreements, and company policies.
The Payroll Specialist serves as the organization’s subject matter expert for payroll operations and ADP Workforce Now, partnering with HR, Finance, site leadership, and ADP to deliver accurate and timely payroll for both unionized and non-unionized employees.
Key Responsibilities
Payroll Administration
- Coordinate bi-weekly payroll processing through ADP’s managed payroll service.
- Review, audit, and validate payroll information prior to payroll submission.
- Ensure payroll data is complete, accurate, and submitted within established deadlines.
- Investigate and resolve payroll discrepancies and processing issues.
- Validate earnings, premiums, overtime, shift differentials, statutory holiday pay, retroactive payments, and other complex payroll calculations.
- Reconcile payroll reports and identify variances prior to payroll approval.
- Assist with mid-year and year-end payroll activities including T4s and regulatory reporting.
ADP Workforce Now Payroll Administration
- Act as the organization’s primary payroll administrator for ADP Workforce Now.
- Maintain all pay related data, including pay codes, earnings codes, and required system configuration.
- Support Time & Attendance administration, including pay rule validation and troubleshooting.
- Partner with ADP to resolve pay issues and implement enhancements.
- Develop payroll reports and support HR analytics.
Compliance
- Ensure compliance with federal and provincial payroll legislation.
- Interpret and apply multiple collective agreements and company policies.
- Maintain payroll documentation and audit trails.
- Ensure compliance with CRA requirements, CPP, EI, income tax, ROEs, and other statutory obligations.
- Maintain strict confidentiality of employee information.
Payroll Support
- Serve as the primary payroll resource for HR teams across five casino locations.
- Respond to payroll inquiries professionally and promptly.
- Provide guidance to managers regarding payroll processes and deadlines.
- Develop payroll procedures and recommend continuous process improvements.
Qualifications
- PCP (Payroll Compliance Practitioner) designation required.
- Minimum 4 years of progressive payroll experience.
- Demonstrated experience with ADP Workforce Now.
- Experience supporting multi-site payroll operations.
- Experience with unionized payroll and interpretation of collective agreements.
- Strong understanding of British Columbia payroll legislation.
- Advanced Microsoft Excel skills.
- Exceptional analytical and problem-solving abilities.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple competing priorities while meeting strict deadlines.
Preferred Qualifications
- Experience with outsourced payroll environments.
- Experience supporting Time & Attendance systems.
- Payroll implementation or system conversion experience.
- Experience supporting organizations with 2,000+ employees across multiple locations.
- Casino, hospitality, gaming, retail, healthcare, manufacturing, or other complex unionized environments.
