Summary: The Reception and Library Services Coordinator is part of a team focused on student services and visitor reception on campus. The coordinator ensures the smooth daily operations of the small library and the daily reception of visitors and guests at the Mexican American Catholic College. The coordinator is responsible for answering incoming calls, routing calls to the appropriate associates, distributing mail, managing correspondence flow, and requisitioning office and other supplies. Under the direction of the Director of Operations and in collaboration with the Academic Dean, the coordinator ensures there are sufficient up-to-date library materials (print and digital) to support students in conducting effective research and writing, as well as welcoming visitors and guests to campus. The coordinator also maintains the School's archives.

Reception and Clerical Duties:
- Welcomes visitors in person (at events or daily) or by telephone.
- Refers inquiries over the phone or in person.
- Maintains telephone console operations.
- Directs calls and visitors accordingly.
- Maintains security by following procedures, monitoring the logbook and security cameras, and issuing visitor badges.
- Monitors the use and maintenance of supplies of office equipment (copier, computer, printer) located in the reception and library area.
- Assist staff, faculty, and students in the use of the centrally located copier.
- Assist with the making of copies of handouts and Mass readings as needed.
- Assist in maintaining student bulletin boards and special event displays.
- Distribute incoming mail to staff, faculty, and students staying on campus.
Library Duties:
- Maintain the library's book inventory.
- Perform duties related to library cataloging.
- Assist students and faculty with resources and all library-related activities.
- Manage and maintain the library database, including tracking book checkouts and returns.
- Maintain and manage the archives, in collaboration with the archives department of the Archdiocese of San Antonio.
- Assist the Academic Dean and other faculty in selecting and purchasing new collections and materials for the library.
- Oversee the creation and management of library LibGuide pages on the College website.
- Participate in assigned special event planning committees, such as the Archbishop's annual visit and the Cultura Catolica Day.
- Prepare information and documentation needed for library reports.
- Adhere to safety training and protocols daily, and take precautionary measures to ensure the safety and well-being of oneself and others.

Minimum Qualifications:
Experience:
- Two years or more of experience performing a variety of duties related to library management, reception, or related area.
- Must be bilingual in English and Spanish.
Education:
- Bachelor's degree in business administration, library science, humanities or related field.
Minimum Knowledge and Skills:
- Effective oral and written communication skills, including proficiency in English and Spanish, as well as grammar, punctuation, and composition.
- Proficiency in general office practices, procedures, and equipment.
- Proficiency in computer software, including the Microsoft Office Suite, and an ability to learn new software programs.
- Ability to work cooperatively with other departments.
- Must have strong critical-thinking and problem-solving skills.
- Ability to organize files and office systems.
- Must have good written and verbal skills.
Travel Requirements:
Travel requirements for the postion include 100% local, and no required overnight.
