Parts Admin in Medford, New York at Gabrielli truck sales

Gabrielli Truck Sales is seeking a dependable and organized Parts Administrator to support the daily operations of our busy Parts Department. This role provides administrative support while delivering excellent customer service to internal and external customers. The Parts Administrator will order and track parts, process paperwork, answer phones, support the front and back parts counters, and help ensure the department operates efficiently.

• Answer incoming phone calls and direct customers to the appropriate parts personnel.
• Order parts for customers, technicians, and departmental needs.
• Track open parts orders and follow up on order status, delays, and expected delivery dates.
• Match packing slips to invoices and verify that parts, quantities, and pricing are accurate.
• Process and organize parts orders, invoices, purchase orders, packing slips, and related documentation.
• Total and reconcile the register at the end of each business day.
• Provide administrative support to the Parts Department.
• Maintain filing systems for invoices, repair orders, purchase orders, and other department records.
• Assist customers and technicians at the front and back parts counters as needed.
• Coordinate with service technicians and parts personnel to ensure the timely delivery of parts.
• Maintain accurate records and enter information into dealership systems.
• Support inventory-related administrative tasks.
• Keep the parts office and surrounding work areas organized and professional.
• Perform other clerical and departmental duties as assigned.

• High school diploma or equivalent required.
• Previous administrative, customer service, or dealership experience preferred.
• Experience in a truck or automotive dealership parts department is a plus.
• Strong organizational skills and attention to detail.
• Excellent verbal and written communication skills.
• Proficiency in Microsoft Office, including Word, Excel, and Outlook.
• Ability to multitask and prioritize responsibilities in a fast-paced environment.
• Friendly, professional, and customer-focused attitude.
• Ability to work independently and as part of a team.
• Basic math and cash-handling skills preferred.

• Ability to sit, stand, and walk throughout the workday.
• Ability to occasionally lift or move items weighing up to 25 pounds.
• Ability to work in office, warehouse, and shop environments as needed.
