Rental Coordinator
The Rental Coordinator is the face of our rental department ideal for someone who enjoys connecting with people, creating positive experiences, and driving business through proactive customer engagement.
As a front-line ambassador of our dealership, the Rental Coordinator plays a vital role in customer satisfaction, fleet utilization, and rental revenue growth. Success in this role comes from being approachable, energetic, and motivated to build lasting customer relationships, not simply waiting for business to come in.

Key Responsibilities
• Greet and assist walk in and phone customers in a professional and welcoming manner
Build strong relationships with customers by understanding their projects, timelines, and equipment needs
Recommend appropriate equipment and attachments based on customer applications
Prepare and execute rental agreements accurately and efficiently
Follow up on quotes, upcoming needs, and rental opportunities
Manage equipment scheduling and utilization to maximize rental availability and revenue
Inspect equipment before and after rentals to ensure it is clean, functional, and ready for customer use
Maintain accurate records of fleet condition, location, and readiness
Coordinate equipment deliveries and pickups, including trailer logistics.
Work with the Service Department to address maintenance or repair needs
Collaborate with Sales, Parts, and Service teams to support a seamless customer experience
Promote and follow all safety policies related to equipment handling and dealership operations
Required Skills
Strong interpersonal and communication skills with a customer focused approach
Self-motivated and comfortable working in a fast paced environment
Strong organizational skills with the ability to manage multiple priorities
Proficient in Microsoft Office and familiar with rental or business software systems
Basic mechanical aptitude and ability to perform visual equipment inspections
Preferred Skills
Two or more years in the rental or equipment dealership industry
Experience coordinating equipment transportation or logistics
Bilingual skills (Spanish or other) are helpful for some locations
Work Environment / Physical Demands
Primarily office-based with time spent in the yard or shop interacting with customers and technicians both
Exposure to moderate to loud noise and outdoor elements
Must be comfortable working around heavy equipment and following safety protocols
Occasional lifting or movement of small parts or tools may be required
